Position: Overseas Programs Systems Specialist

Overview:

With the guidance and under the supervision of the Director, the Overseas Programs Systems Specialist has significant responsibilities relating to StudioAbroad, with additional duties associated with Overseas Programs website maintenance, Study Abroad Advising and Program Management.

StudioAbroad:

  • Create and maintain brochure pages and application materials inStudioAbroad for study away programs managed by the Office of Overseas Programs.
  • Assist Washington University’s primary Studio Abroad system manager with creating and maintaining functions for other units of the University as needed.
  • Develop and manage StudioAbroad website content in a way that is appropriate for online consumption by target audiences and that optimizes search engine visibility.
  • Ensure consistent look and feel by promoting uniform messaging, formatting, imagery and design.
  • Ensure editorial integrity for all online content by working collaboratively with key faculty and staff within Overseas Programs and across campus.
  • Create and maintain StudioAbroad training manuals targeted for use by students, staff, and campus partners. Conduct training classes presenting job-specific StudioAbroad information.
  • Troubleshoot StudioAbroad program issues.

Website:

  • Responsible for maintaining and updating form and content of Overseas Programs website in a timely, proactive manner to ensure that it is a useful tool for faculty, students, families, and staff.
  • Create, develop and manage content for the Overseas Programs web presence (requires working with Drupal Content Management System).
  • Maintain a consistent look and feel throughout the website. Copyedit and proofread all web content.

Study Abroad Program Advising:

  • Provide information and guidance to potential applicants, current applicants, current participants, and past participants regarding study abroad opportunities, policies, and procedures, including mental and physical health resources.
  • Provide supportive one-on-one advising to students throughout the study abroad planning process and ongoing advising support to students enrolling in programs in assigned geographic areas.
  • Maintain strict confidentiality when working with academic, financial, or medical information.
  • Exercise good judgment when advising students to ensure an appropriate match between student and program type/location, etc.

Program management and development:

  • Manage and administer a portfolio of undergraduate study abroad programs in a broad range of geographic areas, including review and selection of study abroad applicants; ensure databases are accurate and transfer credit is processed for assigned programs.
  • Provide support to students and families in the event of an emergency abroad in assigned region. * Must be able to act independently when advising students.
  • Decisions about curriculum, credits, locations, risk management, enrollment targets, and financial impact made in consultation with Director of Overseas Programs
  • Assist Director of Overseas Programs and other colleagues in Overseas Programs with ongoing or special projects as needed.

Required Qualifications

  • Bachelors degree or equivalent
  • Significant experience with StudioAbroad software (“super user” level)
  • Experience studying, working, or volunteering abroad
  • Three to five years experience working in the field of international education in a role that involves student advising
  • Experience with website maintenance and management

Preferred Qualifications

  • Website design experience,
  • Proficiency in a foreign language,
  • Demonstrated project management and process improvement experience.
  • Drupal content management system experience
