Overview:

The Study Abroad Programs Coordinator reports to the Executive Director and serves as an integral member of the Center for International Programs staff dedicated to the university initiatives to internationalize St. Mary’s University. Responsibilities include managing existing study abroad programs as well new study abroad opportunities for students. This position is also involved in developing the Center for International Programs.

Main Responsibilities:

Marketing the study abroad programs to raise program exposure, increase international student engagement, oversee peer mentoring program, and assist in the increase of global awareness among faculty, staff, students and the wider community; Works with campus and international partners in developing and guiding program offerings and content and is responsible for recruiting participants, leaders and program sponsors.

General Program Duties: 

  1. Coordinates and provides logistical support for study abroad programs and immersion experiences, including marketing and recruitment (i.e., class visits, and Admissions recruitment projects (i.e. Saturday at St. Mary’s), maintenance of records including Directors’ reports at the end of each program and program evaluations), oversight of necessary documentation, insurance compliance, health and immunization requirements, travel arrangements, and other services as requested by program directors.
  2. Supports the University’s efforts to promote and improve study abroad and student exchange opportunities. Collaborates closely with other areas of the CIP (International Student and Scholar Services, and Intensive English Programs) to promote internationalization of the campus. Includes coordinating study abroad events such as: International Education Week sessions, Photo Contest, a Study Abroad Fair, etc.
  3. Works collaboratively with other campus offices involved with the study abroad process such as the Business Office, Dean of Students, Financial Aid Office, Registrar’s Office, Student Housing, Student Health Center, Police Department, and Academic Technology to provide resources and support for students participating in study abroad programs and immersion experiences.
  4. Organizes and implements orientation sessions for student and faculty participants on study abroad programs.
  5. Acts as liaison with U.S. Embassies and International Consulate offices as needed to provide guidance for students and faculty going abroad and provides guidance and assistance to faculty and students on the visa processes.
  6. Serves as DSO in support of International Student and Scholar Services in times of high volume workload
  7. Organizes assessment of all study abroad programs in support of the Executive Director
  8. Assists in the preparation of annual reports with the Executive Director on status of study abroad programs.
  9. Work collaboratively with the Office of Admissions and Records, Academic Advising, and academic departments to ensure proper articulation of credits students receive from overseas institutions during study abroad programs;
  10. Reviews, and manages policies and best practices associated with the health, safety, and security of students and faculty traveling abroad;
Student Support Duties:

  1. Assists students in identifying and applying for all international programs. This includes advising on course clearance, visa requirements, finances and general pre-departure information sessions.
  2. Organizes, creates and facilitates post-study programs for returning study abroad or travel study participants
  3. Maintains contact with students while abroad.
  4. Promotes participation in Fulbright, Boren (NSEP) National Scholarship, and Benjamin Gilman Scholarship opportunities and with the Executive Director provides counseling and advising to students for these and other international scholarship opportunities.
  5. Collaborates on programs to support international students, as requested. Also serves as advisor, and support to student organization as requested.> Supervision: Reports directly to the Executive Director

Qualifications:

  • Demonstrated experience as an entrepreneurial and creative staff member in the area of study abroad programs;
  • Minimum of 1 year of experience with university level international programs;
  • Written and spoken command of a second language is an expectation;
  • Knowledge of international higher education best practices and terms;
  • Demonstrated ability to communicate both orally and in writing with various campus constituencies;
  • Strong logistical planning skills relevant to international travel including: relevant regulations and awareness of complex international security concerns;
  • Demonstrated experience in organizing study abroad programs; includes high level experience in organizational, time-management and leadership skills;
  • Demonstrated ability to develop creative solutions and use sound judgment to solve and research issues
  • Ability to work independently, self-motivated and self-directed;
  • Ability to create program budgets;
  • Experience living or studying abroad;
  • Proficient in the use of computer and office machine skills (MS Word, Excel, phone, fax, copy machine);
  • Strong interpersonal skills to include independent thinking, decision making and ability to see big picture as well as attention to detail and prioritize responsibly;

Preferred Qualifications:

  • 3 years’ experience with university level international program management;
  • Experience living/study outside the United States for more than 12 months continuously.
  • Bachelor’s degree in a related field is required. Master’s degree preferred.
