Job Position: Administrative Assistant, Junior Analyst at Morgan Stanley (Temp)

Job Details:

POSITION SUMMARY

Support three officers with general office duties such as maintaining calendars and scheduling meetings and appointments. The role may also include: attending meetings and taking and distributing minutes; screening calls and visitors; filing expense reports and making travel arrangements.

Project work for the Technology Organizational Change Mgmt, Communications team will also be required. Project work may include analysis and creation of presentations, and other communications-related content.

PRIMARY RESPONSIBILITIES

· Maintain executive calendars, schedule/reschedule meetings, field emails and phone calls requesting meetings, handle meeting conflicts and prioritization issues
· Provide telephone coverage – answer executive phones, take accurate messages, know executives’ whereabouts at all times, handle urgent calls with appropriate judgment
· Arrange large group meetings – schedule meetings with all parties, book meeting rooms & call-in numbers, arrange special meeting facilities (food, PC projector, etc), send meeting confirmation e-mails, prepare & distribute meeting materials
· Ensure thorough preparation for all meetings – this requires proactively requesting all materials in advance of meetings. All materials for the next business day must be collated and presented to executive on the prior day
· Navigate Firm’s resources, interface with various departments on behalf of executives to collect information, respond to requests, obtain services
· Provide support on projects that the group

EXPERIENCE/SKILLS DESIRED/REQUIRED

· Undergraduate degree (at least)
· Self-motivated, innovative, hard working individual who can handle changing priorities and multiple tasks
· Personable, good listening skills
· Excellent attention to detail
· Strong communication skills and an ability to liaise with people on all levels
· Ability to use own initiative and judgment
· Highly organized and capable of multi-tasking to meet deadlines
· Solid proficiency in Microsoft office, especially Excel, PowerPoint & Word
· Certain amount of flexibility e.g. a willingness to work overtime when required
