Job: Enrollment Officer at Council on International Educational Exchange (MAINE)

The CIEE, Council on International Educational Exchange, headquartered in Portland, Maine, is looking for an enrollment manager for their Asia division.  The enrollment officer is in charge of overseeing the application process for students traveling and studying abroad, and knowledge of an Asian language and experience with education abroad are highly preferred in a candidate.

The Enrollment Officer (EO), based in the CIEE Portland office, has primary responsibilities for students between the point of application and the point of departure on the program. The EO is responsible for the review and acceptance of applicants, tracking and collection of supplementary application and predepature materials, efficiency in processing student applications, customer service to applicants, parents and study abroad advisors and maintaining the integrity of participant data in the database system. The EO also oversees the creation of participant pre-departure materials, including visa instructions, as well as their collection and dispersal to the appropriate staff people.

QUALIFICATIONS:

  • Education – Bachelors degree required.
  • Work Experience – 3-4 years of work experience in a customer service oriented field.
  • Demonstrated interest in education abroad or higher education is preferred.
  • Experience Abroad – Personal study or living abroad experience, particularly in China or Japan, is strongly preferred.
  • Foreign Language Experience – knowledge of Chinese or Japanese is a plus but not a necessity.
  • Customer Service – Must have strong service skills and the ability to resolve issues fairly and expediently. Must be able to exude empathy and control over the phone and in email.
  • Time Management – Must have the ability to plan for and manage multiple tasks and priorities simultaneously and on tight deadlines.
  • Administration – Must have strong organizational and administrative skills and extreme attention to detail.
  • Interpersonal – Must be a team player and self starter able to exercise sound judgment to handle a variety issues.
  • Communication – Must be able to communicate clearly and succinctly with various audiences.
  • Technology – Must have solid experience working with Microsoft Office Programs including Word, Excel and Outlook. Must know how to set up mail merges and how to format spreadsheets and documents. Must be comfortable with learning new databases and technology.
  • Flexibility – Must have a high tolerance for ambiguity and the flexibility necessary to respond quickly and appropriately to changing circumstances and priorities

DUTIES:

  • Review applications, make acceptance decisions and convert applicants to participants
  • Maintain in-depth knowledge of each program and proactively discuss components (academics, housing, etc.) of each program with applicants
  • Track and collect students’ supplemental documentation during the application and predeparture process
  • Ensure the integrity of participant data in the database system
  • Respond to questions from applicants, parents, study abroad advisors via phone and email in a professional and timely manner
  • Initiate communications with students, parents and study abroad advisors about important issues that may arise during the application and predeparture process
  • Manage communications with Resident Staff in an organized and transparent manner to ensure timely delivery of participant information to program sites
  • Produce, edit and publish the pre-departure materials, visa instructions and other information delivered to participants upon acceptance to a CIEE program. As part of this process, manage communications with Resident Staff and Program Management in an organized and transparent manner to ensure accurate delivery of information.
  • Maintain contact with participants, parents, and study abroad advisors throughout the whole enrollment cycle
  • Work closely with Program Management and Institutional Relations to contribute to program team efforts in recruitment, marketing and program development for the region.
  • At all times, exercise good judgment and consideration in addressing problems and questions that arise with students, parents and CIEE staff

RESPONSIBILITIES:

  • Responding in a timely manner to all questions, issues, problems, and/or needs of the students, parents, study abroad advisors, resident staff and CIEE Portland Staff related to the job duties as outlined.
  • Upholding the highest level of customer service in any situation.
  • Accuracy of data and other participant details
  • Timely and organized delivery of participant information and materials to onsite Resident Staff
  • Converting applicants to paid participants
  • Maintaining efficiency in processing applications
  • Representing CIEE with integrity, accuracy, and in the spirit of its mission.
