(1) Assistant Program Officer with IAESTE @ Cultural Vistas (NY)

Position Summary

The Assistant Program Officer will support and assist in the daily administration of IAESTE for inbound and outbound participants.

Essential Duties and Responsibilities

– Assist in the administration of the IAESTE program, including filing applications, depositing/ requesting checks, maintaining participant database, health insurance enrollment, program evaluation and program certificate mailings
– Answer program inquiries via phone/ email/ mail
– Communicate with applicants, participants, foreign interns in the US, US host companies and IAESTE partners
– Conduct telephone interviews with applicants (inbound and outbound)
– Represent IAESTE at local career fairs/ college events/ conferences
– Implement US host company and student recruitment strategies
– Research and contact potential host companies in the US via internet, directories and other sources
– Assist foreign interns in housing search
– Assist with the processing of J-1 visas for foreign interns
– Conduct site visits to ensure companies meet program requirements
– Other tasks as assigned

Skills and Demonstrated Abilities Required

– Fluency in a foreign language strongly preferred
– Previous experience participating in study or work abroad program(s)
– Exceptional communication and organizational skills, including excellent phone manner, with students, parents, college staff and corporate personnel
– Demonstrated ability to maintain proactive, flexible, inventive approach
– Ability to “think out of the box” in the procurement of internships in the US
– Ability to exhibit a collegial attitude and excel within a collaborative team working environment
– Ability to multi-task, to prioritize workload, to organize, and make decisions in a deadline sensitive environment
– Strong analytical skills, good judgment and critical thinking skills

Computer Equipment and Software Requirements

Must be proficient in Microsoft Suite products. Prior CRM experience a plus.

Education and Experience

Education: Bachelor’s degree required; International Relations, Business, Education, or other related degree preferred.
Years of Experience: Minimum of 2-3 years of administrative, customer service, client relations management or program management experience required. Prior international and/or educational experience strongly preferred.

Physical Demands

Domestic and international travel may be required.  Work on weekends, holidays, and evenings may be required.

Position Summary
Deliver immigration services for F-1 and J-1 students and scholars at the NYU Polytechnic School of Engineering. Act or assist as appropriate in issuing required US government documents for international students to obtain student or exchange visitor status, extend stay, apply for employment authorization, or travel abroad. Advise on opportunities, rights and responsibilities under the law and refer to other University departments, attorneys, or governmental agencies as necessary. Counsel international students/scholars/employees on all personal, health, social, cultural, financial, and immigration matters related to their stay. Collaborate with staff, schools, departments, and outside organizations (including vendors) to plan and coordinate events.
Responsibilities
  • Act or assist as appropriate in issuing required US government documents for international students to obtain student or exchange visitor status, extend stay, apply for employment authorization, or travel abroad.
  • Advise on opportunities, rights and responsibilities under the law and refer to other University departments, attorneys, or governmental agencies as necessary.
  • Counsel international students/scholars/employees on all personal, health, social, cultural, financial, and immigration matters related to their stay.
  • Work directly with the State Department, Department of Homeland Security, consular and immigration officials to resolve problems
  • Liaise with faculty and staff as needed regarding F-1/J-1 regulations and OGS policies
  • Stay abreast of school policies and procedures as they affect international students.
  • Evaluate complex regulations and apply to individual cases.
  • Comply with SEVIS reporting and record keeping requirements
  • Assist with planning and coordinating programs and events
  • Participate in regular OGS meetings and trainings
Position Qualifications
Required: Bachelor’s degree in relevant field; knowledge of SEVIS, F-1 student and J-1 Exchange Visitor regulations; minimum one year relevant experience in international educational exchange advising; ability to communicate effectively with people from different cultural backgrounds; computer literacy; and excellent organizational, interpersonal and written and oral communication skills
Preferred: Master’s degree in relevant field; 3 years administering immigration and exchange visitor benefits (DSO/ARO) in a higher education setting; fluency in at least one foreign language; experience living abroad; familiarity with Word, Excel, Access, PowerPoint, Web-based applications; completion of NAFSA F-1 and J-1 Professional Development Programs.
