Study Abroad Coordinator at the University of Montana

This position is responsible for student advising, application processing, creating and maintaining program information materials, updating website content, guidance and immediate supervision of up to eight (8) study abroad interns and complex software management, which includes the interface management, program development, the tracking and data maintenance including all technical aspects of the Studio Abroad software per the MUS policy for Student, Faculty and Staff International Travel Health and Safety Requirements.

This position reports to Director for Study Abroad, Student Exchanges, and Institutional Partnerships and is expected to work independently with minimal supervision. This position is responsible for prioritizing, meeting deadlines, multi-tasking, problem solving, using sound judgment, acting with initiative and paying attention to detail in a busy work environment. This position participates as a part of OIP’s leadership team.

This position coordinates Outgoing and Incoming Exchange and Study Abroad Programs and will serve as primary advisor to all outgoing and incoming exchange and study abroad students with questions regarding both UM and non-UM study abroad and exchange programs; process applications for outgoing and incoming students; plan and implement presentations about study abroad programs for students via information sessions, classes, student groups, and other recruiting activities; assist applicants throughout the application, pre-departure and re-entry process; and serve as primary advisor on international travel Insurance needs.

This position will process applications for faculty directed study abroad programs and proposals, and travel registration; support faculty with program development process, including customizing the online application and program information; advise prospective program participants; assist applicants throughout the application, pre-departure and re-entry process; import faculty directed study abroad program data into Terra Dotta software; and serve as primary advisor on international travel Insurance needs.

This position is responsible for on campus programming and will prepare materials and/or communication with other departments for program promotion, study abroad fairs, presentations, pre-departure and re-entry workshops, and incoming pre-arrival coordination; assist with the bi-annual education abroad fair; support International Education Week and International Month planning; schedule education abroad promotional events; and coordinate pre-departure and re-entry programming.

This position is responsible for Administrative and Technology Tasks and will respond to inquiries from faculty, staff, and parents in a timely manner; manage Terra Dotta software by creating new programs and updating existing programs, tracking and maintaining student, faculty and staff data, training UM employees in the use of Terra Dotta software, and creating accounts for faculty directed student groups; create queries and reports to analyze past and current study abroad data; serve as the primary manager for HTH enrollments for all UM students, faculty, and staff international travel; provide immediate supervision of the study abroad interns and assists in developing training materials and sessions for interns; assist in developing policies and procedures for study abroad; play a role in the implementation and distribution of policies; assist in ensuring compliance of these policies; ensure branding and style guide adherence and a streamlined process for students, administrators, and other users; manage the websites for study abroad, faculty/staff resources, UM travel registration, incoming exchange students, and UM exchange partners; and manages all forms of social media for Study Abroad and develops new and innovative marketing strategies.

Required Experience

*   Bachelor’s Degree and at least one (1) year of progressively responsible experience or an equivalent combination of education and experience.

Preferred Qualifications

*   Three (3) years of progressively responsible experience in a university setting or in related field
*   Study Abroad Experience
*   Knowledge of study abroad policies and procedures
*   Experience in working with study abroad and exchange programs in a university setting
*   Experience in advising international students
*   Knowledge of Terra Dotta or similar software
*   Technical liaison with Terra Dotta software
*   Experience in Cascade or similar software
*   Knowledge of Banner or similar software
*   Knowledge of University policies and procedures specific to study abroad
*   Knowledge of university international travel insurance requirements and policies
*   Knowledge of applicable university infrastructure, policies, and procedures
*   Knowledge of office systems with the ability to use a range of technology, systems and software packages including Microsoft Office suite, University databases and the Internet

Education Abroad Advising & Account Specialist at Macalester College (St. Paul, Minnesota)

Purpose of PositionMacalester College in St. Paul, Minnesota, is seeking to hire an Education Abroad Advising and Account Specialist. The Education Abroad Advising and Account Specialist is responsible for advising students, budget management, promoting scholarship opportunities, managing travel insurance, and maintaining the study away database. The ideal candidate for this position is someone with experience related to budget management and education abroad administration, programming, and advising. • Experience with Terra Dotta software or other data management system

Responsibilities• Provide study away advising to students

• Represent the International Center at selected departmental forums and other related events

• Communicate and collaborate with departmental liaisons and other staff members to improve study away programming and advising

• Attend events related to study away (pre-departure orientation, study away informational sessions, sophomore night, majors fair, returnee forums, etc.)

• Responsible for managing IC accounts including serving as financial liaison, generating financial reports, and ensuring timely payments to study away program sponsors and foreign universities

• Provide program cost details for the determination of financial aid awards and student billing for off-campus study

• Assist students, faculty, parents, and study abroad sponsors with questions regarding study away finances and billing

• Responsible for managing travel insurance for traveling students, faculty, and staff

• Serve as primary resource, maintain, and update records for study away database (Terra Dotta)

• Assist in other duties as assigned
