General Description: The Program Associate serves as a member of the team responsible for the administration of the IHP/Comparative portfolio of study abroad programs. The Program Associate provides ongoing programmatic and administrative support to the Academic Dean. S/he also works closely with the Program Directors (PDs) and field staff to facilitate the flow of information, appropriate documentation, and the smooth functioning of programmatic activities. The Program Associate also works with Marketing, Admissions, IT, Human Resources, Finance, and the Legal and Compliance offices on matters of programmatic support.

Specific Responsibilities:

-Serve as primary point of contact with program directors and on-site staff for updates on logistical aspects of program administration, including program preparation and information management.
-Regularly communicate with program directors and field staff to ensure accuracy of all program materials and local faculty/staff information.
-Work with Dean and PDs to ensure accurate and updated syllabi, including scheduling of ongoing syllabi revisions
-Compile and prepare appropriate materials for Dean approval and assist the team in having materials posted to the website
-Proactively update, edit and disseminate program materials for reference by other staff
-Maintain program calendars throughout each semester
-Work closely with Admissions, Marketing and other SIT Study Abroad departments to support program enrollment through the creation, editing, and maintenance of program materials such as pre-departure materials, website and catalog updates and other marketing initiatives.
-Oversee reporting procedures and compile PD reports, student evaluations, staff feedback, and other documentation from the field for analysis and feedback by Dean.
-Collect necessary reporting and documentation and distribute to Student Affairs as required.
-Identify and assess administrative program needs and work with the Program Directors on job descriptions for local employees and traveling staff. Maintain a database of these staff positions for each program and a file of preferred job descriptions.
-In coordination with Student Affairs, compile country-specific news and current events relating to political risk and human development issues to assist Dean in evaluating potential impact on SIT Study Abroad program development, study abroad programs and student research activities.
-Provide periodic summary program overview to Dean in preparation for policy meetings with SIT Study Abroad senior management.
-Support Program Directors and Dean with annual planning meetings for full staff. Reserve meeting spaces, track and approve travel and lodging for meeting participants. Compile meeting agenda and any additional materials. Provide logistical support during meetings.
-Liaise with the World Learning library and program directors to develop online program-specific library pages. Ensure programs are in compliance with copyright laws and regulations in regards to readings distributed to students during semester.
-Book group flights through travel agent and in consultation with Program Directors. Review flight options, contract flights, send final numbers/name lists.
-Support US Country Coordinators on program launch logistics as needed.
-Assist in the hiring process for traveling faculty and fellows. Work with program directors to train new hires and provide relevant information. Liaise with IT to provide needed technology to fellows.
-Support the Finance department and Budget Manager in collecting expense reports, training new staff on reporting procedures, and submitting payment requests.
-Occasional domestic and/or international travel may be required in this position.
-Other responsibilities as assigned by the Dean

Required Qualifications:

-Strong writing and editing skills
-Two years professional experience in international education administration
-Experience living, working, studying, and/or conducting research abroad
-Demonstrated analytical ability and attention to detail
-Ability to work cooperatively, sensitively, and professionally with Program Directors, in-country staff, and other SIT Study Abroad staff, as well as external stakeholders including students, parents, and sending schools
-Good organizational, project management, and multi-tasking skills, as well as demonstrated ability to work as a team player
-Excellent computer skills (Word, Excel, PowerPoint, Outlook). Database management and social media skills considered a plus.
-Willingness and availability for occasional flexibility in work schedule

Required Education:

-Bachelor’s degree, MA preferred
