Position1) Volunteer & Docent Coordinator; 2) Institutional Advancement Director

1. Full-Time Volunteer and Docent Coordinator (40 hours)
Position Description:
The Volunteer/Docent Coordinator reports to the Curator of Education, and will manage the interviewing, placement and assessment of all the volunteers. They are also responsible for the coordination, scheduling, implementation and evaluation of the Docent Program (a volunteer-based interpretive and educational program for schools and public tours). Must be available to work evenings and weekend events.

Specific Responsibilities and Duties:

Volunteer Coordinator Duties:
  • Defines the organizational needs and responsibilities of the Volunteer and Docent Programs, develops, along with museum staff, volunteer job descriptions responsive to the need of the museum
  • Attends Volunteer Services Committee meetings and serves as committee member at all County recognition events
  • Maintain all volunteer files and keep the records of their volunteer hours on a weekly, monthly and yearly basis.
  • Provide a monthly volunteer report to Palm Beach County. 
  • Oversees volunteer activities, reviews individual performances, and reassigns or terminates when necessary 
  • Assist in the formulation of an annual Volunteer Program budget
  • Attends various Volunteer Fairs for recruitment purposes
  • Coordinates and conduct volunteer orientation training 
  • Works with the Marketing department to write articles about the volunteer and docent programs for appropriate internal publications (newsletters, web) and/or provides information for press releases and marketing needs as well as submits all nomination narratives for various volunteer recognition awards.
  • Coordinates and supervise all volunteers for Morikami’s annual festivals and programs.
  • Evaluate the volunteer program and performance of individual volunteers and docents and report on the volunteer program as requested.
  • Oversees daily operation of volunteers including: maintaining records of absence; obtaining (or acting as) backup 
Docent Coordinator Duties:
  • Work with the Education and Curatorial departments to coordinate and develop training of the docents on The Way of Docents, Japanese culture, exhibitions and collections, including Roji-en; techniques of transferring knowledge to the public; leading and interacting with groups and various audiences; and develop a team and mentoring approach for docents to meet program goals
  • Develops a regular schedule of monthly or periodic meetings or training for Docents; organizes and obtains speakers as necessary, or assist in training.
  • Works closely with the Education department on the development, content, training and conduct of school tours and the Summer Tour Plus program
  • Works closely with the Reservationist on the scheduling and implementation of tours; scheduling docents for tours and special programs; monitoring the daily conduct of tours and resolving any problems relating to their conduct.
  • Reviews and takes action on tour evaluation forms in conjunction with the Reservationist.
  • Establishes the daily greeter schedule and docent tour schedule, setting out appropriate forms and materials for prescheduled and public tours
Requirements
  • Minimum two year Associates degree
  • Two years volunteer coordinator experience or related experience
  • Strong organizational and computer skills
  • Knowledge of principles, objectives and management techniques needed to coordinate a volunteer program
  • Knowledge of rules and regulations governing the conduct and administration of volunteer personnel
  • Ability to communicate effectively, orally and in writing
  • Ability to establish and maintain effective working relationships with fellow employees, volunteers, outside
  • Knowledge of Japanese culture a plus
  • Knowledge of Raiser’s Edge a plus

2. Institutional Advancement Director
This senior position reports directly to the Museum Administrator and works closely with the Board of Trustees. The Director is responsible for the oversight of the Development and Membership Department, which includes the following:
  • Development and implementation of an annual fundraising plan. 
  • Identify and create solicitation strategies and stewardship programs for major donors, foundations, and corporations. 
  • Work closely with trustees and the Development Committee to implement goals. 
  • Carry out campaign fundraising objectives; short and long term, and endowment. 
  • Supervise Development and Membership Manager and all related programs. 
  • Handle new trustee orientation and provide ongoing updates to maintain the board handbook for all trustees. As needed, provide orientation/training sessions for trustees. 
  • Create cultivation/stewardship programs for implementation by Director and key leadership, with unique initiatives for each giving sector; individuals, foundations, and corporations. 
  • Oversee all fundraising materials; printed and on website. 
  • Supervise Development and Membership Manager’s management of donor database system, preparation of reports, accounting, and acknowledgement of all deposits, gifts, pledges, and grants. 
  • This position is evaluated through periodic reviews of established goals and benchmarks.
Required skills:
  • College degree plus a minimum of seven years of demonstrated organizational leadership in fundraising.
  • Personal experience soliciting major gifts from individuals, foundations and corporations. 
  • Strong verbal and written communication skills. 
  • Ability to train/guide department staff and trustees. 
  • Highly developed project leadership and organizational efficiency. 
  • Ability to train and guide trustees to be effective fundraisers/ambassadors. 
  • Verbal communication skills including public speaking. 
  • Ability to manage multiple projects simultaneously and meet short deadlines. 
  • Initiative to carry out priorities without direct supervision. 
  • Flexibility and a positive attitude. 
  • Knowledge of Raiser’s Edge and Microsoft Office. 
  • An interest in Japanese culture.
