Overview:

The Program Assistant for the Office of International Program Development promotes and coordinates study abroad activities for IPD customized and faculty-led study abroad programs. The position assists with the development and implementation of student recruitment efforts for IPD programs, provides student services pertaining to all stages of the study abroad process (for prospective, outbound, and returnee students), and coordinates program logistics at home and abroad for assigned programs.

Specific Responsibilities:
Coordinates administration and logistics for assigned study abroad programs, including confirms schedules; arranges student accommodations, international flights, and local transportation; Arranges field experiences in coordination with the Host University or local vendors; Collects and facilitates timely payment of invoices; Promotes and coordinates student recruitment efforts, including organizes information sessions and other events, updates program materials and website content; Assists with implementation of outreach and marketing efforts to Northwestern student groups, academic departments, and other units on campus as well as to peer institutions; Responds promptly to inquiries from prospective students, enrolled students, alumni, and parents related to program content and requirements; Coordinates the application and selection process of applicants to assigned study abroad programs, including advising and conducting student interviews, reviewing applications, and making admissions decisions; Provides visa advising and processing for students; Coordinates orientation sessions and assists in the production of orientation guides and materials; Coordinates IPD study abroad scholarship application and award process; Coordinates IPD student ambassador program; Maintains and updates study abroad records in student database; Collects and tracks pre-departure forms and requirements; Compiles and prepares study abroad information for reporting; Coordinates events, including room reservations, catering, technology, etc.; Collects and submits study abroad transcripts to the Office of the Registrar, when applicable; Supports other IPD activities as required, including organizing events, advising students, developing alumni networks, and supporting the creation of new programs and perform other duties as assigned; Performs related duties as required or assigned.

Minimum Qualifications:

A high school diploma or its equivalent along with at least 4 years’ of administrative support experience is required; At least 2 years’ experience working with undergraduates, in a university setting, and with international programs.

Preferred Qualifications:
A master’s degree or the equivalent combination of education, training and experience from which comparable skills can be acquired; Prior experience studying, living, or working abroad; Experience in academic advising of undergraduate students; Experience with Symplicity products, HTML, and/or web applications; Foreign language skills; Experience managing a budget.
