Overview:
This position has recently been upgraded with new title and edited job responsibilities. Brandeis University is looking for an Assistant Director, Brandeis-Led Study Programs. The Assistant Director oversees all administrative functions of the Justice Brandeis Semester and Brandeis-Led Study Programs which include some 17 faculty-run programs. The Assistant Director manages the development of new program proposals and administers the logistics of the programs including publicity, the application process, budget monitoring, logistical arrangements for students and faculty, and assists in the evaluation of the program. The Assistant Director also assists in advising students interested in summer experiences abroad as well as manages all undergraduate international exchange relationships.
Responsibilities:
- Performs all administrative and general management aspects of the program. Works with faculty and overseas partners to establish and run Brandeis-led study programs. Tracks students applications to the program, ensure applications are complete, coordinates review of academic and student life standing, and disseminates the applications for faculty and staff review. Develop a standardized application, acceptance and rejection letters, forms, program participant contracts, and coordinate any pre-program orientation sessions. Provide administrative support to faculty supervising the JBS and BLSP.
- Coordinates support services for students. Arranges housing, educational travel, and health and safety precautions for students participating in abroad programs, coordinating these efforts with Brandeis faculty and the host institution. Coordinates with other campus offices the need for classroom space and support services.
- Designs publicity for the JBS and Brandeis-Led Study Programs in conjunction with faculty and staff. Creates written materials and web pages, and coordinates outreach both on and off campus to promote these innovative academic opportunities.
- Responsible for enrollment targets for programs and oversees records of budgets and expenditures for both programs. Independently monitors, troubleshoots, and follows up on delays in processing of the budget. Prepares paperwork, budget reimbursements, and p-card allocations. Provides quarterly reports on budget allocations.
Qualifications:
- Masters in higher education or related field required.
- 4-6 years of total work-related experience
- 1-2 year of supervisory/management experience
- Knowledge of and experience with academic program administration and implementation and emergency risk management.
- Excellent organizational and communications skills; strong attention to detail. Ability to be responsible to multiple constituencies including faculty, students, parents, and international program providers.
- Knowledge of Microsoft Word, Excel, StudioAbroad, PeopleSoft and other software programs.
- Knowledge of one or more languages other than English preferred. Experience developing and administering budgets. Must be able to work as part of a team. Must have flexibility and be able to respond to changing priorities.
