Position: Program Associate for AFrica

Overview:

ISEP is currently seeking a full-time Program Associate for Africa located in our central office in Arlington, VA (10 minutes from Washington DC). Founded in 1979, ISEP is a nonprofit membership organization with over 300 partner  institutions in 50 countries around the world. ISEP provides exchange and study abroad opportunities to over 3,400 students annually.

Position Summary:
Under the general supervision of the Director of Africa and Middle East Programs, the Program Associate for Africa serves as program assistant for both the Africa and Asia Pacific Regional teams and provides administrative support for the placement process and program implementation including data entry and processing and mailing of application materials. The Program Associate for Africa works jointly with the Regional Director in administering student exchanges between U.S. ISEP member institutions and member institutions in Africa and implementing the Africa Region Strategic Plan. The Program Associate for Africa serves as principal liaison for members in Africa and also an Alternate Responsible Officer (ARO) for SEVIS.

Job Duties:
1) Provides program assistant support for Africa & Asia Pacific Regional Teams

  • Data entry, processing & mailing of student applications
  • Corresponding with ISEP coordinators in U.S., Africa and Asia with regard to outstanding pieces of student applications
  • Entering placements, confirmations and students’ acceptances
  • Mailing of program related materials as necessary
  • Managing student files throughout all stages of placement process and ensuring that student and institutional files contain documentation of significant transactions

2) Under the general supervision of the Director of Africa and Middle East Programs, administers student exchanges between U.S. ISEP member institutions and African members

  • Requesting nomination numbers from African institutions prior to start of each placement round
  • Reviewing applications to & from Africa and placing students at member universities in the US and Africa in consultation with RD for Africa and Middle East Programs.
  • Responding to inquiries from member institutions regarding content and appropriateness of programs in Africa
  • Responding to inquiries from coordinators and member institutions regarding course descriptions and availability
  • Responding to inquiries from coordinators and member institutions regarding programs and availability of space
  • Reviewing and processing of Institutional Information Sheets from African institutions
  • Following up on outstanding confirmations, making appropriate adjustments, and providing post-placement communication
  • Maintaining support services during and following programs and responding to crisis situations
  • Arranging Group Flight for student going to Ghana and sending pre-departure information to students
  • Training of new coordinators in the U.S and in Africa

3) Works jointly with Director of Africa and Middle East Programs in implementation of the Africa Region Strategic Plan

  • Reviewing and contributing to update of ISEP publications, materials and website (including Country Handbooks)
  • Marketing of ISEP programs in Africa to ISEP member institutions
  • Reviewing and writing summary reports of program evaluations and implementing appropriate follow-up
  • Maintaining database of ISEP Member Institutions who have an interest in Africa
  • Maintaining spreadsheets of Africa related contacts and organizations
  • Researching prospective member institutions in Africa
  • Performing outreach to faculty with interest in Africa
  • Running statistics on student activity to/from Africa

4) SEVIS

  • Serves as an Alternate Responsible Officer for SEVIS
  • Completes necessary processes and provides necessary documentation for international student employment authorization and academic training
  • Verifies international student information prior to the creation of DS-2019 forms
  • Assists with obtaining SEVIS documents and making special SEVIS payments for students from Ghana

5) Other Projects as assigned

Requirements:

  • Education: BA/BS degree
  • Experience: At least one semester study abroad and/or living abroad experience (preferably in Africa); 1-2 years of relevant work experience in international organization and/or higher education office; Familiarity with African continent (specifically Francophone countries)
  • Skills: Strong interpersonal communication skills; Ability to work and think independently as well as part of team; Ability to handle extensive detail and manage multiple tasks; Knowledge of Microsoft Office systems (Access, Excel, & Power Point); French language fluency preferred; Applicant must have authorization to work in the U.S.
