Overview:

As Office Manager for Cornell Abroad, provide comprehensive administrative support for a vibrant and fast-paced student-centered office.  Demonstrating a high level of professionalism, confidentiality, and customer-service skills, the Office Manager responds directly to inquiries from students, staff, faculty, parents, and others regarding study abroad and other international opportunities for Cornell students.  Assist with collection and tracking application paperwork from students. Whether in person, in writing, or over the phone, the Office Manager must draw upon a broad understanding of opportunities for international education across the university and deep knowledge of Cornell Abroad, its programs and processes to craft official replies on behalf of the organization.  Address issues ranging from the application process and deadlines to financial aid procedures, registration status, and use of the online application software.  Use judgment to triage information requests as needed.

Job Duties:

Provide scheduling support for the Director and Associate Director and unit activities.  Create a calendar of priorities in order to identify and proactively prepare for upcoming initiatives and events.  Coordinate materials for upcoming meetings and assist with meeting follow-up.  May be responsible for preparing and distributing meeting minutes.  Serve as a central resource for committees and for information on projects.
Manage departmental email account.  Update and distribute announcements and promotional materials using publication software.  Maintain resource library of opportunities for international study and other types of credit-bearing and not-for-credit international experience including volunteering, internships, and service learning.
Coordinate daily business activities, maintaining supply inventory and handling purchasing, including catering.  Coordinate and make complex travel arrangements.  Handle all logistics, including preparation of itineraries, completion of registration forms, compilation of necessary background information, and preparation of all reimbursements.  Track reimbursements to ensure timeliness of receipt.  Assist Financial Manager with accounting, as requested.
Supervise student office assistant(s).  In addition to duties listed above, provide general administrative support to include: ordering program brochures, maintaining files, sending and distributing mail, and copying.

Qualifications:

Associates degree with 4-6 years of high-level administrative support experience or equivalent combination of education and experience.
  • Excellent communication skills, both oral and written.
  • Excellent organizational and interpersonal skills, including the ability to handle confidential information. Attention to detial and demonstrated ability to take initiative and handle ongoing activities while using sound judgment and paying close attention to details.
  • Must be a self-starter, independent thinker and problem solver.   Must be able to manage multiple tasks.
  • Demonstrated positive work ethic, ability to work in a team environment.
  • Previous experience with Microsoft Office Suite (particularly Word, Excel, and PowerPoint), FileMaker, Outlook and be willing to learn other software as necessary, including web-based data management tools.
  • Candidate should be enthusiastic about working with students and international programs.
  • The person in this position must have excellent customer service and interpersonal skills and be able to work well with diverse groups of people.

Preferred Qualifications:

  • University-level coursework strongly preferred.
  • Previous experience working in a higher education setting, preferably with students.
  • Previous experience supervising or mentoring college students desired.
  • Knowledgeable about international programs or travel.
  • Previous experience with web design/HTML, social media tools a plus. Knowledge of Studio Abroad software for managing education abroad application helpful, but not necessary.
  • Personal experience of living, working or studying in a country other than the US preferred.
