Overview:
Supporting the Director of Study Abroad, this position plays an important role in a busy office, serving as the first point of contact for all inquiries to the Office of International Programs (OIP). Must be knowledgeable about the Study Abroad Program (including undergraduate exchanges), the International Internship Program, Princeton in France, the German Summer Work Program, Bridge Year, and fellowship opportunities. In addition, must be able to direct inquiries to other offices and individuals as appropriate.
Job Duties:
– Serves as the first point of contact for visitors to the office and fields most telephone calls. Provides information on all the programs offered by the OIP, including study abroad, internships, Bridge Year and fellowships. Must be knowledgeable and able to direct students to other international opportunities offered by the university. Must be able to assess the importance and urgency of issues raised by students, parents, and faculty.
– Provides critical administrative support for the study abroad program, which includes providing general advice to students, organizing a series of information meetings and pre-departure meetings, and receptions.
Works closely with the Director of Study Abroad on the overseas administration of final exams for students who are on programs abroad, staying in contact with faculty, students, and overseas administrators.
– Manages the registration and all payments and arrangements for the annual Study Abroad Fair that hosts representatives from between thirty and forty colleges and program providers. Reconciles credit card expenese for study abroad. Orders office supplies.
– Recruits, interviews, and supervises student workers in the office. Manages their work schedules and oversees the maintenance of the study abroad library.
– With the Director, tracks and compiles statistics on international experience at Princeton, including the Senior Survey on International Experience and annual study abroad statistics. This includes use of Qualtrics and Access data.
Required Qualifications:
- Bachelor’s Degree
- Minimum of 4-6 years work experience in related area.
- Expertise in Microsoft Word, Access, Excel, PowerPoint, SharePoint. Ability to produce reports in Excel and Access.
- Proven record of excellent administrative, organizational, and interpersonal skills.
- Excellent accuracy and close attention to detail.
- Ability to be productive and maintain a friendly, positive attitude in a fast-paced environment that has multiple distractions
- Excellent written and oral communication skills.
- Ability to exercise good judgment and tact in handling sensitive situations involving students and faculty. Ability to recognize and deal respectfully with cultural differences.
- Ability to take initiative and think creatively, including ways to incorporate technology into administrative processes.
- Knowledge of Roxen, general html programming, and/or web support
The finalist for the position will be required to successfully complete a background check.
Preferred Qualifications:
- International experience.
- Familiarity working with students.
- Knowledge of a foreign language.
