Overview:
Purpose of Position: Provides development and administrative support to the Strategic Development, Communications, and Higher Education Services divisions in the Department of External Affairs & IIE Initiatives. Work is carried out under general supervision.

Essential Duties and Responsibilities include the following. IIE may add, change, or remove essential duties and other duties at any time.

Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures.

Development Support:
•Assists in tracking contributions for New York fundraising efforts in E-tapestry fundraising database and division’s computer files.
•Prepares acknowledgments, thank-you letters, and other correspondence to donors.
•Maintains fundraising database and individual donor files.
•Maintains divisional calendar and responds to Development mailbox inquiries.
•Coordinates the distribution and delivery of incoming and outgoing mail, and monitors, orders and ensures delivery of supplies.
•Assists with the planning and execution of fundraising events at IIE, including: annual Gala and other donor cultivation events.
•Conducts prospect research on current and prospective donors, including alumni, high net worth individuals, corporations and foundations, working closely with colleagues in major gifts, fundraising and business development.
•Assists with IIE’s reporting to philanthropy organizations, including Guidestar, Charity Navigator, the Chronicle of Philanthropy, etc.
•Serves as divisional web content contributor. Updates Development and other pages on website as needed.

Departmental Administrative Support:
•Processes payment requests, petty cash reimbursements forms, and expense reports. Maintains logs and files of invoices sent out by each division.
•Books travel and accommodations for departmental personnel. Handles visa process for travel.
•Assists in the coordination of internal and external meetings, including reservations, catering, set-up, general coordination, and preparing meeting minutes.
•Works across the department to assist as needed in drafting, editing, and preparing of grant proposals for submission.
•Assists in the execution of External Affairs & IIE Initiatives special projects, including: Emergency Student Fund initiatives and the Best Practices Conference.
•Performs other duties and functions as assigned.

Education/Experience :
•Bachelor’s degree and at least one year related experience and/or training; or equivalent combination of education and experience.

Skills Required:
•Demonstrated ability to multi-task, stay organized, problem-solve and manage time when facing multiple priorities with competing time and resource needs.
•Excellent interpersonal, cross-cultural, and communication skills, both oral and written.
•Courteous and ability to interact with all levels of staff.
•Basic knowledge of office and administrative practices and procedures.
•Basic ability to read and interpret documents and write routine correspondence.
•Excellent customer service skills and demonstrated ability to respond to customer requests in a timely and courteous manner.
•Must have strong knowledge and background in Microsoft Office 2010; development software; internet software; database software, contact management systems and fundraising applications.
