Overview:
Known as Japan’s largest bookstore- 50 stores and 74 book centers in Japan, 27 stores around the world. Specialize in sales of Japanese books, and other goods such as stationary. Company Size: 30 retail staff and 12 staff in NY office.
Your Role with the Company:
Job duties will include order US and Canadian academic publications on behalf of Japanese office, processing the claims and requests to the US publishers, preparing custom documents and sending the shipment to Japan office regularly.
Work Hours: Mon-Fri, 9am to 5pm with one hour lunch (unpaid)
Preferred Experience and Skills:
- Must have Native-level English skill
- Japanese skill is NOT required
- Must be detail-oriented
- Must be a team player

Basic Function:
Act as a liaison between customers, sales, overseas plants, forwarders, and customs brokers. Assist sales representatives in processes involved in receiving the orders from customers, arranging productions and shipments with overseas plants, and invoicing to customers. Meet and strive to exceed customer’s requirements and expectations in a timely manner.

Reports to:
Sales Promotion Manager
Primary Duties and Representatives:
•Respond to inquiries in a timely, accurate and efficient manner by liaising between customers, sales, and various plants regarding transmittal of documents and information regarding jobs
•Handle internal Purchase Orders issued to Japan, Indonesia, and Shanghai plants for all jobs including sign off of sales representative before starting the production
•Establish the production schedule with the cooperation of sales representative, overseas plants.
•Verify information with sales representative, and communicate instructions for
shipping to overseas plants.
•Act as Contact for receiving shipping information such as bill of lading, packing lists, certificate of origin, and letter of credit for ocean shipments.
•Correspond with customs brokers and forwarders regarding shipping status.
•Check the production and shipment status to meet customers’ due date, cooperating with the counterparts in overseas plants, customs brokers, and forwarders.
•Formulate and transmit estimate requests; communicate information to sales who will relay final pricing to the customer
Preferred Experience and Skills:
- College Degree or equivalent work experience recommended.
- Experience with customer service, preferably with overseas companies.
- Computer literacy.
- Ability to meet stringent deadlines.
- Exceptional communication and interpretational skills with a variety of cultures and countries.
- Detail oriented, excellent organization skills, and emotional intelligence
- Perform all assigned work efficiently and on schedule
- Excellent interpersonal skills including exceptional customer service skills
- Follow all instructions accurately and Maintain quality standards
- Offer and suggest new ideas for process improvement
- Report to work on time; work after hours when requested and needed according to company policy and project requirement
