Job: Part-time Administrative Assistant, Japan-America Society of Dallas/Fort Worth (Dallas, TX)

Job Summary:
Performs general administrative functions to support the efficient and professional operation of the organization. Primary areas of responsibility include: maintaining membership records; providing administrative support for programs and events; updating the society’s website; fielding public inquiries; performing basic accounting functions; providing meeting support; and performing general office work.

Essential Duties and Responsibilities:

• Maintains the Society’s membership records, ensuring that records are accurate and current, including: sending renewal notices, processing payments, maintaining database, updating online directory
• Provides administrative support for programs and events, including: creating online registration pages, tracking advance registration, making travel arrangements, preparing mailings, producing printed pieces

• Provides administrative support for annual Sun & Star Legacy Award Dinner and Silent Auction, including correspondence, mailings, donor and auction records, and event registration
• Updates the society’s website
• Performs basic accounting functions, including: managing the credit card processing system, preparing bank deposits, processing checks, sending invoices, monitoring accounts receivable
• Provides administrative support for Board of Directors and committee meetings, including scheduling meetings, sending notices, tracking replies, ordering food, preparing handouts
• Answers the telephone and manages the society’s general e-mailbox
• Fields inquiries from the public for Japan-related information and resources
• Processes mail and maintains postage
• Purchases and maintains office supplies
• Serves as liaison to tech support, vendors, service providers
• May perform other duties as assigned

Qualifications:
• High school diploma or GED (two years college or equivalent work experience preferred)
• Minimum two years’ related work experience or formal secretarial/administrative assistant training
• Excellent computer skills: Proficiency in Microsoft Office and Outlook necessary; Access, and Quickbooks desirable; experience with website maintenance
• Accurate and detail-oriented
• Strong organizational skills and ability to manage multiple tasks
• Excellent interpersonal and customer relations skills
• Good written and oral communication skills
• Fluency and accuracy in English language essential, both oral and written
• Experience with event planning and teamwork a plus
• Japan-related interest and experience a plus

Work environment & physical demands:

20 hours per week
Small office and small staff, close work environment
May be stressful at times in relation to event deadlines
