Canadian Chamber of Commerce in Japan (www.cccj.or.jp) is a private sector, not-for-profit business organization that has since 1975 promoted the development of commerce between Canada and Japan.
Representing some 35 business sectors, the CCCJ is a member-driven, member-focused organization and is the longest serving Canadian Chamber in Asia. With over 400 member representatives, the CCCJ represents a broad cross-section of businesspersons and entrepreneurs from Canada, Japan and other countries. Membership is comprised of Canadian companies and individuals with ties to Japan and Japanese companies and individuals with ties to Canada.
CCCJ is looking for an Office and Event Manager for the CCCJ Office. Qualifications, job description, and relevant responsibilities/duties are detailed below.
Job Description: Office and Event Manager
Office and Event Manager will report to the Executive Director and will be responsible for the following areas:
KEY RESPONSIBILITIES
Arranging and supervising events
Managing data membership
Answering telephone and e-mail inquiries
Supporting ED in communication with committees
Translation as required
Website updates as required
Membership
Membership liaison and database management
Issue membership renewal invoices and payment reminders as required
Provide new members with a welcome kit, receipt for payment, directory and Chamber information
Arrange new members’ details to be included in the new member section of the magazine
Event Coordination
Book venues and catering services and communicate with the stakeholders
Market upcoming events through website and via e-mail
Responsible for money, receipts and invoices in relation to functions
Coordinate speaker and emcee event flow logistics
Ensure each event runs smoothly, ensuring that key times are followed as closely as possible
Seek to give the highest level of customer service at all events
Accounts
Liaison with insurance company contact, accountant, auditor and bank
Regularly update bankbooks and record all transactions except for payroll details
Issue invoices for events, membership and advertising in a timely manner
Support the ED in preparing contacts for outstanding event, membership and advertising invoices
Prepare accordingly for monthly payments, follow up with outstanding accounts receivable
Qualifications
Japanese (native speaker) who must currently reside in Japan
English (Business level, TOEIC 900+)
Strong understanding and experience of Japanese business culture
Knowledge and or interest in Canada and business in Canada
University degree
Desired skills and experience:
Strong relationship building and interpersonal skills
Superior organizational skills
Enthusiasm and a positive attitude, ability to maintain grace under pressure
Excellent verbal and written communication skills and superior customer-service oriented skills
Demonstrated ability to work in a small team setting with limited resources
Ability to work early mornings and/or evening, and weekend when required is essential
Ability to travel within Japan when required
Type of Contract:
Renewable two year fixed term contract
Working Conditions:
Working hours, Rest days, Paid leaves, Social insurances and other working conditions are subject to the Japanese labor laws
Compensation and Benefits will be determined at proven track record of the successful candidate
No relocation allowance is provided upon hiring
