The Program Coordinator will work closely with the Director of Programs, Program Manager(s), and other staff across the team to provide administrative support in the development, coordination and execution of programs and events that support and promote USJC’s mission.Candidates should be committed to the goals of the organization and bring 1-2 years of experience coordinating and supporting programs and events that educate and engage audiences who are interested in U.S.-Japan relations.

This is a full-time position based in Washington, D.C. (or elsewhere in the continental U.S.), with domestic and international travel required as needed. Preference will be given to candidates located in Washington, D.C., who are able to commute to the office. The Program Coordinator will report to the Director of Programs.

Key Responsibilities

  • Assist the Program Director and Manager(s) with logistics for onsite, virtual, and hybrid programs and events.
  • Work collaboratively with a cross-functional team in the United States and Japan to implement programs and events, performing administrative and operational tasks such as building registration platforms, coordinating logistics, and providing overall program operations support.
  • Utilize technologies, such as Salesforce, Asana, Google Workspace, Zoom, and Slack to support coordination and increase efficiency
  • Serve as a liaison between staff, vendors, implementing partners, and external constituencies on day-to-day programmatic issues.
  • Maintain program records and statistical information; collect and analyze data producing accurate reports from datasets and surveys; evaluate and make recommendations to strengthen programs.
  • Write program reports, summaries, and newsletters articles.
  • Assist with other technical, administrative and office responsibilities as needed.
  • Other Duties
    • Provide on-the-ground support for events as needed.
    • Provide administrative support for the D.C. office.

Qualifications

  • Bachelor’s degree. (required)
  • Be located within commuting distance of Washington, D.C. (strongly preferred)
  • English fluency and strong Japanese proficiency (written and spoken).
  • 1-2 years of event planning and coordination experience: small educational programs (less than 50 participants) to large-scale conferences (500+ attendees). (required)
  • Excellent organizational skills and the ability to work under tight deadlines and manage multiple priorities.
  • Demonstrated effectiveness in working independently and as a member of a team, and developing effective working relationships with stakeholders.Honed written and oral capabilities and effective interpersonal communication skills, including sensitivity and diplomacy in communicating with a wide range of constituencies in a diverse community.
  • Ability to gather and analyze statistical data and generate reports.
  • Commitment to professional ethics in working with highly confidential, sensitive information.
  • Acquired technological skills or the ability to learn new platforms, including database management software (e.g. Salesforce), application management software, G-Suite, online communication tools, such as Zoom and Slack (required).

Working Conditions

  • Hybrid position in Washington D.C.; will be required to report to the D.C. office twice a week; meet with local and traveling staff and members.
  • Occasional evenings and weekends required for events, as well as meetings with colleagues and members in other time zones.
  • Requires a strong, consistent, and reliable internet connection and be able to establish an appropriate work environment within his or her home for work purposes.
  • Some travel is necessary.
