Description:
A very famous Japanese Manufacturing Company is currently searching for a Japanese-English Bilingual Coordinator (Translator/Interpreter) to help them by providing services to clients according to their needs, acting as liaison between employees and clients, and freelancers (interpreters and translators) and clients.

Duties include communicating with employees to provide solutions to their work problems and communicating with clients to meet their needs.

This is considered an entry level position, but advanced/native level Japanese/English is needed for this position. JET Alumni who have such level are encouraged to apply.

Your essential duties would include the following:

I. Employee Liaison
1) Periodically visits/contacts employees at their assigned job sites to listen to their concerns and provides solutions in order to prevent potential work and legal problems.
2) Attends meetings at clients’ sites/online to observe and monitor employees’ performance.
3) Ensures employees’ work records, such as timesheets, work logs and other administrative forms, are timely submitted to the management team.
4) Promptly provides any works related data concerning employees at the requests by senior management and/or accounting department.
5) Acts as an initial contact person for employees in case of emergency.
6) Assists in locating and qualifying employees’ candidates.
7) Coordinates final interviews at the clients’ sites/online with employee candidates.
8) Conducts new employee orientation meetings to provide the company and employment information as well as living area information.

II. Clients Liaison
1) Visits/contacts clients to maintain existing business relationship.
2) Assists clients with conducting final interviews with the final candidates ensuring that necessary information, questions and answers are communicated.
3) Distributes and collects employees’ performance appraisal forms to/from clients on an annual basis.
4) Coordinates and holds annual meetings with each client to obtain their evaluations on the services provided by employees as well as the company.
5) Communicates with clients concerning employees’ job conditions, such as commencement and termination of contracts, both first-time and renewal contracts.
6) Seeks an opportunity to provide more interpretation and translation services by analyzing employees’ work conditions and/or clients’ needs.
7) Seeks an opportunity to provide interpretation and translation services to new clients.

III. Short-Term Project Management Duties

1) Interpretation Service
– Locates and qualifies available freelance interpreters for short-term projects.
– Coordinates and assigns jobs to freelance interpreters on a temporary basis.
– Negotiates terms with clients and/or freelance interpreters to ensure the established budgets are in control to meet the corporate objective.
– Prepares and drafts contracts for clients and freelance interpreters.
– Prepares, controls and files Order Forms along with other related documents.
– Conducts travel, transportation, and hotel arrangement for temporary translators/interpreters.
– Acts as liaison between clients and freelance interpreters to avoid any problems during projects.
– Keeps management informed of project progress and problems, particularly as to needed changes in schedule or personnel resources.
– Manages to ensure the assigned projects being completed in a timely and cost-effective manner.
– Provides good guidance to freelance interpreters, so that their abilities and project quality are enhanced.
– Visits/contacts clients to maintain existing business relationship.
– Seeks an opportunity to provide company’s interpretation services to new clients.
– Visits/contacts freelance interpreters to maintain existing business relationship.
– Prepares invoices for clients.

2) Translation Service
– Communicates with customers and reviews original documents to be translated.
– Locates and qualifies available freelance translators for the projects.
– Negotiates terms with clients and/or freelance translators to ensure the established budgets are in control in order to meet the corporate objective.
– Provides estimates/quotes for translation projects and obtains authorization from clients to start projects.
– Assigns a job to a freelance translator.
– Directs freelance translators on the style and the format clients requested, rewrites and
formats documents submitted by multiple translators worked on the project.
– Ensures the project is completed in a timely manner.
– Proofreads and edits translated documents for final delivery.
– Acts as liaison between clients and freelance translators handling inquiries forms both parties.
– Visits/contacts clients to maintain existing business relationship.
– Seeks an opportunity to provide the company’s translation services to new clients.
– Visits/contacts freelance interpreters to maintain existing business relationship.
– Locates and qualifies available freelance translators to expand the company’s resources.
– Prepares invoices for clients.

IV. Administrative Duties
1) Coordinates and arranges company’s employee welfare events such as various seminars and company dinners.
2) Maintains employees’ work records and annual contracts.
3) Provides assistance in managing the daily operations and Family Support; these duties include but are not limited to being the contact person for utilities and procurement of office supplies, etc.
4) Answers and directs telephone calls and takes and transfers messages as necessary.
5) Handles incoming and outgoing mail and delivery.
7) Runs errands for the company when necessary.

V. Other & Miscellaneous
1) Seeks constant improvement, more efficient and less expensive ways and means in work processes.
2) Performs special projects and other miscellaneous duties as assigned by senior management.
3) Maintains high ethical standards in the workplace.
4) Reports all irregular issues and problems to upper management for solution.
5) Maintains good communication with supervisors, office staff members, outside employees and other contacts.
6) Complies with all company policies and procedures.
7) Responsible for maintaining a clean and safe working area.

Please consider the following qualifications when applying:
1) Bachelor’s Degree in any related field from four-year college or university or equivalent combination of education and experience.
2) One or more years of previous experience in a similar position.
3) Bilingual in Japanese and English Fluent level of Japanese skill)
4) Valid Driver’s License
