Summary of Position:
The Program Coordinator, Student Services (PCSS), supports the Manager of Student Services (MSS) in ensuring the wellbeing of students in college and internship programs in accordance with CIEE health safety and security policies. The PCSS will actively engage with students in the above-mentioned programs to ensure the quality of their study abroad experience, assisting them on a wide range of matters related to their daily lives, health and safety, and overall enjoyment of the program. The PCSS will also support CIEE Tokyo colleagues as needed for students in other program lines. Additionally, the PCSS will coordinate and implement CIEE Tokyo internship programs, including Tokyo Global Internship (GLINT) programs.
The selected candidate will be hired on a one-year contract with the possibility of converting to full-time permanent at the end of the first year, conditional on satisfactory performance and the needs of the company.

About CIEE Tokyo:
Located on the campus of Sophia University, CIEE Tokyo offers a variety of study abroad and intercultural exchange programs. Our current program lineup includes college semester; college summer; faculty-led and custom programs for colleges / universities; high school semester; high school summer; gap year abroad; and internships.
Primary Responsibilities:
- Support the Manager, Student Services (MSS) in ensuring students’ health and wellbeing. This includes, but is not limited to:
- Assist the MSS in gathering and analyzing student information for optimal housing placements
- Answering students’ questions and appropriately responding to their concerns before and during programs
- Respond appropriately to student emergencies and incidents following CIEE’s health safety and security policies and protocol.
- Support relevant colleagues for student airport pickups
- In collaboration with the MSS and relevant colleagues, design and implement orientation sessions related to student life and health safety and security. Such sessions include but are not limited to: Bystander Intervention Training (for learning how to prevent sexual assault and crime through nonviolent intervention); housing orientations; and intercultural communication.
- Monitor student group chats (e.g. official CIEE Tokyo Facebook and LINE groups) and respond to questions and concerns appropriately
- Lead students on cultural activities, site visits, daytrips, and overnight excursions. Stay in assigned lodging (for example a hotel) during overnight excursions.
- Manage the CIEE Tokyo blog for programs including but not limited to college semester and college summer. Contribute to CIEE Tokyo’s online presence through the official blog and other approved social media platforms and channels.
- Edit / create program documents in English
- Manage CIEE Tokyo’s internship programs, including the Tokyo Summer Global Internship Program, in collaboration with the CIEE Tokyo Director, Manager of Student Services, and relevant staff at the Academic Internship Council (AIC, CIEE’s custom internship division). This includes but is not limited to:
- Planning the logistics for students’ arrival, housing, and supplementary activities and excursions
- Plan and lead orientation sessions and activities
- Follow up appropriately on students’ questions and concerns related to their daily life, the program, and health safety and security
- Liaise with host companies and organizations
- Other duties as assigned

Knowledge and Requirements:
- Bachelor’s degree required; Master’s degree preferred
- Degree(s) in a subject relevant to the position preferred. Subjects include program management, (international) education, international relations, intercultural communication, Japanese culture and language, etc.
- Administrative experience
- Fluent in English
- Proficiency in spoken and written Japanese (JLPT N2 or equivalent preferred)
- Excellent communication skills, especially in an intercultural work environment
- Detail-oriented
- Patient and willing to help; a team player
- Energetic
- Passion for education / international education
Work Environment:
- Physical demands:
- Lifting: 0-25 pounds (0 – 11.3 kg).
- Able to be out of the office with students for extended periods of time. Able to stand / walk / climb stairs while guiding students for orientations, activities, and excursions.
- Able to work at a desk for extended periods of time
- Ability to perform essential office functions such as communicating on a telephone, typing and viewing a computer screen, answering emails, filing paperwork in a cabinet, and operating office equipment such as a printer and copier machine.
- Typical work hours: Monday to Friday, 9:30am to 5:30pm. Exact hours may vary depending on program needs. Occasional overtime and work on weekends and holidays required. All staff are entitled to a “compensation holiday” if they are assigned to work on a weekend day or national holiday. Occasional overnight stays for student excursions required.
