Job Position: Program Manager & Accounting Manager at US-Japan Council (DC)

Job Details:

1. Program Manager – The U.S.-Japan Council (Full-time, Washington, DC)

We are looking for an applicant who is committed to the goals of the organization and can bring experience in developing interesting programs that educate and engage audiences who are interested in U.S.-Japan relations.
The program manager will be involved in developing and implementing programs with U.S.-Japan issues in areas such as economic cooperation, new technology and academic exchange. Hands-on event management and execution is required, and he or she must be able to multitask and work efficiently in engaging various resources. This position offers an opportunity to make impact in a fast-growing small, non-profit and an opportunity to network with prominent leaders at the forefront of U.S.-Japan relations. Fluency in English and Japanese is desirable.

Responsibilities

  • Develop, implement, and manage programs that support and promote USJC’s mission.
  • Manage the Annual Conference, the Council’s largest event of the year, working collaboratively with staff, Board members, and Conference Committee members.
  • Develop the Legislative Networking Project through managing legislative contacts, exchanges, and events.
  • Manage the Council’s regional programs in designated locations including: East Coast, Midwest, and Southern regions in the U.S.; and Japan
  • Work together with the President, Staff, Board of Directors, USJC members, policy centers and other experts to develop program contents and seek appropriate speakers.
  • Create program budgets and plan resources for the implementation of the programs.
  • Manage the day to day activities of the program, which involves coordination with speakers, planning logistics, managing event registration, and coordinating staff and volunteers.
  • Work together with the communications staff for the promotion of events.
  • Qualifications

  • Must have excellent organizational skills and the ability to work under deadlines, manage multiple priorities, and delegate effectively.
  • Excellent interpersonal skills; ability to work well in teams with VIPs, Board members, other staff members, and volunteers.
  • 2-3 years program management experience (required)
  • Experience in US-Japan related programs (preferred)
  • Demonstrated ability to work well independently and on a team.
  • Event management experience: small educational programs (approximately 40 attendees) to large-scale conferences (500+ attendees)
  • Bachelors degree (required); Master degree (preferred)
  • Fluency in English and Japanese is desirable.

    2. Accounting Manager – The U.S.-Japan Council (Full-time, Washington, DC)

    We are seeking an applicant who is committed to the goals of the organization and can bring experience in non-profit accounting and fund accounting. The Accounting Manager will provide bookkeeping and accounting services ensuring that timely financial reports are prepared. This individual will work closely with staff in the Washington, D.C. and Los Angeles offices, and the Board of Director’s Treasurer and select Board members. Hands-on accounting is required, and he or she must be able to multitask and work efficiently in engaging various resources. This position offers an opportunity to make impact in a fast-growing small, non-profit and an opportunity to network with prominent leaders at the forefront of U.S.-Japan relations. Fluency in English is required and conversational Japanese is desired but not required.

    Responsibilities

    Accounting:

  • Maintain accounting and reporting for Council’s general activities including accounts payable, accounts receivable, payroll general ledger. Knowledge of QuickBooks required.
  • Manage accounting and reporting for all Restricted Designated Funds.
  • Prepare monthly financial reports and review with the President and Treasurer. Provide quarterly financial reporting to the Board of Directors in conjunction with the Treasurer.
  • Provide support for the annual audit.
  • Budgeting:

  • Prepare annual organizational budget.
  • Maintain budget versus actual report.
  • Periodic review of the organizational budget with the President and Treasurer.
  • Make adjustments to the organizational budget.
  • Prepare program budgets in coordination with Program Manager and Director.
  • Human Resources:

  • Maintain personnel files.
  • Provide orientation for new and departing employees.
  • Benefits administration.
  • Liaise with payroll vendor (PayChex) on HR issues.
  • Supervise Administrative Assistant and Interns.
  • Compliance:
    Maintain both federal and local regulatory compliance.
    Ensure compliance with office building rules.
    Maintain insurance and vendor contracts.

    Qualifications

  • Must have excellent organizational skills and the ability to work under deadlines, manage multiple priorities, and delegate effectively.
  • Must have at least 3-5 years accounting experience and knowledge of QuickBooks.
  • Must have non-profit fund accounting Experience
  • Excellent interpersonal skills; ability to work well in teams with Board members, other staff members, and volunteers.

  • Bachelors degree in accounting or related field (required)
  • Fluency in English is required and conversational Japanese is desirable.
