Position: Office Manager

Purpose:
To manage the office and administration in support of the Center, Monday through Thursday, 4 hours per day.

Responsibilities:
•Maintain office supply inventory—determine inventory level, anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies.
•Ensure operation of office equipment (including IT) by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; and evaluating new equipment needs and software
•Assist with maintaining financial records and accounting for the office, including budget reports, accounts payable and receivable, cut checks, make deposits, and reconcile accounts.
•Maintain and organize all general office spaces, including storage and break rooms, and oversee office space maintenance/repairs
•Manage all office vendor relations
•Assist with filing and data entry
•Manage Executive Director’s calendar, including scheduling internal and external meetings and activities
•Assist ED with meeting preparation, including preparing documents and presentations, and taking meeting minutes
•Field calls and assist ED with email and other correspondence
•Organize ED files and materials
•Support other senior staff (e.g. Director of Corporate Development, Associate Director) as needed.
•Other duties as assigned

Requirements:
•Bachelor’s Degree and 4-5 years related experience preferred
•Excellent written and spoken English
•Strong organizational and interpersonal skills
•Comfortable interacting with trustees, high-level donors, and other VIPs
•Adaptable to high paced office environment.
•Advance knowledge of Office Suite
•Interest in the mission and goals of Asia Society an advantage
•Accounting experience helpful
