Description:
The Dorm Manager (DM) is responsible for fostering an inclusive, community-based living environment for TUJ students. The DM serves as a live-in representative of OSSE, supporting residents’ daily life, cultural adjustment, and well-being. Additionally, the DM acts as a liaison between students, resident assistants (RAs), community builders (CBs), housing staff, and property management to maintain a positive community and smooth dorm operations.
Work Hours:
The Dorm Manager is expected to organize their schedule around the university semester schedule, particularly during the beginning and end of the semesters during peak move in and move out times. Although permitted to work another job, the DM is expected to remain at the housing facility as much as possible during evenings and on weekends.
Job Description:
Resident Support and Engagement
• Supervise student residents and promote a respectful, inclusive living community
• Provide orientation for new residents and support their adjustment to life in Japan
• Facilitate dorm programming in collaboration with RAs and OSSE staff to build community engagement
• Serve as a point of contact for student inquiries and concerns, providing guidance or referral when necessary
Operations and Administration
• Manage check-in/out process at the beginning and end of each semester
• Coordinate with property management, OSSE staff, and TUJ facilities regarding building and room safety and maintenance
• Track incident reports and communicate concerns promptly to OSSE staff
• Enforce TUJ policies related to the Code of Conduct and housing policies
Communication and Collaboration
• Maintain frequent communication with students, RAs, internal TUJ departments, and external partners
• Assist in ward office and community relations when necessary
• Supervise and provide training for the RAs
• Respond to emergency situations immediately as well as proactively address student needs
• Be available a few times a year for meetings with university administrators
Minimum Qualifications:
• Bachelor’s degree or equivalent experience in student affairs, education, or related field
• Proficient in both English and Japanese preferred (reading, writing, and speaking)
• Excellent communication and interpersonal skills; warm and friendly vibes
• Proficient computer skills (Outlook, Excel, Teams, and Word)
• Ability to work independently, manage time effectively, and respond calmly to urgent incidents
• Flexibility to move to other university dorm facilities as need arises
Preferred Qualifications:
• Experience in residential life, student affairs, or student housing
• Prior experience living or working in a multicultural or international environment
• familiarity with conflict resolution and crisis response
