JOB ANNOUNCEMENT: Seeking an Employee for the Consulate General of Japan in New York
The Consulate General of Japan in New York is currently seeking to hire an Executive Assistant to the Deputy Chief of Mission (DCM)/ Deputy Consul General. The deadline for all job applications is 15/03/2019.
Work hours: Monday through Friday, 9:15am – 5:45pm (Lunch Break 12:30pm – 1:30pm)
Responsibilities:
- Manage DCMs schedule
- Schedule meetings and appointments and manage travel itineraries
- Organize breakfasts/lunches/dinners hosted by DCM which includes inviting guests and making restaurant reservations
- Coordinate executive communications, including taking calls and responding to emails
- Draft, edit and finalize correspondence
- Welcome DCM’s guests by greeting and escorting them to his office
- Screen phone calls or emails; answering or directing inquiries.
- Maintain a strict level of confidentiality
- Cover tasks of Ambassador’s Executive Assistant in her absence
- Assist on other duties as deemed necessary
Qualifications:
- Bachelor’s degree
- Minimum of 10 years of experience as an Executive Assistant reporting directly to senior management
- Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
- Excellent writing, research, communication and organizational skills
- A commitment to promoting Japan-U.S. relations
- Friendly and professional demeanor
- Must be a U.S. citizen or permanent resident
