Job Summary:<\/strong>
\nThe Study Abroad Program Coordinator for the Office of International Program Development promotes
\nand coordinates study abroad program activities for assigned IPD study abroad programs. This
\nincludes managing student recruitment, advising, application, enrollment, and predeparture
\norientation\u037e global program operations\u037e program budgets and accounting\u037e and program assessment
\nand evaluation.
\nSpecific Responsibilities:<\/strong>
\n\u00b7 Administration: Coordinates administration and logistics for assigned study abroad programs,
\nincluding arranging student accommodations, international flights, local transportation, field
\nexperiences, etc. in partnership with faculty and staff from Northwestern and partner institutions\u037e
\nManages day to day operations\u037e Ensures that program mission, values, guidelines, policies and
\nprocedures are implemented and maintained\u037e Reviews processes and recommends changes to
\nincorporate state of the art technology as appropriate into administrative, recruitment, marketing, and
\neducational components\u037e Identifies service improvement opportunities that will better enable program
\nto achieve its goals and objectives\u037e Manages design and development of program databases\u037e
\ncompiles and analyzes data\u037e prepares reports\u037e Collects and tracks forms and requirements\u037e<\/p>\n

\u00b7 Student Support: Advises students regarding study abroad program selection, admissions,
\nacademic, and career and development matters\u037e Reads and evaluates admissions files and
\nparticipates in candidate selection\u037e Interviews and screens applicants\u037e Coordinates orientation
\nsessions and assists in the production of orientation guides, materials, and other resources\u037e<\/p>\n

\u00b7 Communication, Outreach & Recruitment: Partners with Marketing Communications Manager
\nto create marketing materials in print and multimedia\u037e Incorporates social media and networking into
\nprogram aspects as appropriate\u037e Strengthens partnerships with external resources by defining,
\npromoting and marketing benefits of participation and involvement to the organization\u037e Creates and
\nnurtures relationships with organizations to develop a network of enthusiastic organizations engaged
\nvia active participation in the success of program\u037e<\/p>\n

\u00b7 Faculty Support: Supports Northwestern and partner faculty in development and implementation
\nof program courses, activities, and materials\u037e Arranges faculty travel and accommodations and assists
\nwith visas\u037e<\/p>\n

\u00b7 Evaluation: May travel to program locations, as needed, to participate in site visits to assess
\nprogram operations\u037e Observes program sessions and interacts with participants for purpose of gaining
\nconsumer insight, growing and strengthening program knowledge, and optimizing client satisfaction\u037e
\nCoordinates the collection, analysis and reporting of required information for surveys, review
\ndocuments, public information documents, etc.\u037e Analyzes evaluation data from instructors, students,
\nparticipants, etc. to assist in program development and updates\u037e Implements corrective actions
\nrequired as a result of surveys or other indicators\u037e<\/p>\n

\u00b7 Budgets & Financial: Participates in budget preparation\u037e Maintains budget and associated
\nanalysis and reports\u037e Enters individual and summary of transactions into journals and general ledger
\nor other NU enterprise system\u037e Reviews\u037e ensures approval based on alternatives regarding practice
\nand policy\u037e analyzes and classifies transactions in accordance with established chart or coding of
\naccounts\u037e creates new accounts\u037e prepares, processes, reconciles and provides receipts (as
\nappropriate) for transactions\u037e Processes transfer and appropriation charges and may balance and\/or
\nclose accounts\u037e Troubleshoots problems\u037e performs vendor\/account research as needed\u037e obtains
\nadditional information or provides instruction and guidance by phone, US or email from
\ncustomers\/vendors\u037e corrects or escalates\u037e<\/p>\n

\u00b7 Events: Coordinates programming, educational, student, alumni, workshops, meetings, etc.
\nincluding speakers, agendas, etc.\u037e Develops plans and arranges meetings, workshops, events, etc.
\ndesigned to exchange information, promote research objectives, and to build internal and external
\nrelationships within NU\u037e Ensures that event details including communication, venues, presenters,
\ntravel arrangements, materials, refreshments and technology are arranged and completed in an
\nappropriate and timely manner\u037e<\/p>\n

\u00b7 Program Development: Assists the Director and Assistant Director, as needed, in developing
\nnew customized or facultyled programs in alignment with IPD mission\u037e Manages academic quality and
\ncontinued growth and expansion\u037e Reviews programs\/projects to increase efficiencies to support
\ngrowth\u037e Leads program updates and improvements\u037e<\/p>\n

\u00b7 Performs other duties as assigned.<\/p>\n

Minimum Qualifications:<\/strong>
\nA bachelor\u2019s degree in business, accounting or a related field plus 1 year program
\nadministration or similar experience\u037e or 3 years program administration or similar experience or
\nthe equivalent combination of education and experience from which comparable knowledge
\nand abilities can be acquired\u037e
\nDemonstrated ability to successfully manage international initiatives for a student audience
\nExcellent oral and written communication skills\u037e
\nExcellent interpersonal skills\u037e
\nIntermediate knowledge of word processing, spreadsheet, email, and database software
\nprograms\u037e
\nWell developed organizational skills and the ability to independently prioritize and handle
\nmultiple tasks, turning general instructions into specific action steps\u037e
\nAbility to quickly and effortlessly change direction based on new\/changing priorities\u037e
\nProven problem solving skills and attention to detail.<\/p>\n

Preferred Qualifications:<\/strong>
\nA bachelor’s in international studies, international education, or related field or the equivalent
\ncombination of education and experience from which comparable knowledge and abilities can
\nbe acquired\u037e
\nA minimum of three years of professional work experience in study abroad and international
\nprogram management and administration\u037e
\nPrior experience studying, living, or working abroad\u037e
\nExperience working with university staff, students, and faculty\u037e
\nExcellent computer skills, including indepth knowledge of spreadsheets, word processing,
\ndatabases and presentation software packages\u037e
\nExperience with Symplicity products\u037e
\nForeign language skills\u037e
\nFamiliarity with regional and national education abroad networks and resources\u037e
\nDemonstrated ability to analyze financial accounts and develop, manage, and monitor budgets.
\nAs per Northwestern University policy, this position requires a criminal background check.
