Overview:<\/strong><\/p>\n

The Program Assistant for the Office of International Program Development<\/span>\u00a0promotes and coordinates study abroad activities for IPD customized and<\/span>\u00a0faculty-led study abroad programs. The position assists with the development<\/span>\u00a0and implementation of student recruitment efforts for IPD programs, provides<\/span>\u00a0student services pertaining to all stages of the study abroad process (for<\/span>\u00a0prospective, outbound, and returnee students), and coordinates program<\/span>\u00a0logistics at home and abroad for assigned programs.<\/span>
<\/p>\n

Specific Responsibilities:<\/span><\/strong>
Coordinates administration and logistics for assigned study abroad\u00a0<\/span>programs, including confirms schedules; arranges student accommodations,<\/span>\u00a0international flights, and local transportation;<\/span>\u00a0Arranges field experiences in coordination with the Host University or<\/span>\u00a0local vendors;<\/span>\u00a0Collects and facilitates timely payment of invoices;<\/span>\u00a0Promotes and coordinates student recruitment efforts, including<\/span>\u00a0organizes information sessions and other events, updates program materials<\/span>\u00a0and website content;<\/span>\u00a0Assists with implementation of outreach and marketing efforts to<\/span>\u00a0Northwestern student groups, academic departments, and other units on campus<\/span>\u00a0as well as to peer institutions;<\/span>\u00a0Responds promptly to inquiries from prospective students, enrolled<\/span>\u00a0students, alumni, and parents related to program content and requirements;<\/span>\u00a0Coordinates the application and selection process of applicants to<\/span>\u00a0assigned study abroad programs, including advising and conducting student<\/span>\u00a0interviews, reviewing applications, and making admissions decisions;<\/span>\u00a0Provides visa advising and processing for students;<\/span>\u00a0Coordinates orientation sessions and assists in the production of<\/span>\u00a0orientation guides and materials; Coordinates IPD study abroad scholarship<\/span>\u00a0application and award process;<\/span>\u00a0Coordinates IPD student ambassador program;<\/span>\u00a0Maintains and updates study abroad records in student database;<\/span>\u00a0Collects and tracks pre-departure forms and requirements;<\/span>\u00a0Compiles and prepares study abroad information for reporting;<\/span>\u00a0Coordinates events, including room reservations, catering, technology, etc.;<\/span>\u00a0Collects and submits study abroad transcripts to the Office of the<\/span>\u00a0Registrar, when applicable;<\/span>\u00a0Supports other IPD activities as required, including organizing events,<\/span>\u00a0advising students, developing alumni networks, and supporting the creation<\/span>\u00a0of new programs and perform other duties as assigned;<\/span>\u00a0Performs related duties as required or assigned.<\/span><\/p>\n

Minimum Qualifications:<\/span><\/strong><\/p>\n

A high school diploma or its equivalent along with at least 4 years\u2019 of<\/span>\u00a0administrative support experience is required;<\/span>\u00a0At least 2 years\u2019 experience working with undergraduates, in a<\/span>\u00a0university setting, and with international programs.<\/span><\/p>\n

Preferred Qualifications:<\/span><\/strong>
A master’s degree or the equivalent combination of education, training<\/span>\u00a0and experience from which comparable skills can be acquired;<\/span>\u00a0Prior experience studying, living, or working abroad;<\/span>\u00a0Experience in academic advising of undergraduate students;<\/span>\u00a0Experience with Symplicity products, HTML, and\/or web applications;<\/span>\u00a0Foreign language skills;<\/span>\u00a0Experience managing a budget.<\/span><\/p>\n
