Support the Vice President, External Affairs in the Department\u2019s day-to-day administrative, and operational activities. \u00a0Organize administrative and development efforts on behalf of the Vice President\u2019s Office with Trustees, the President\u2019s Office, high-level donors, Asia Society\u2019s management and EA\u2019s senior staff. \u00a0The Executive Assistant will serve as the focal point in coordinating and executing the Department\u2019s administrative activities.<!--more--><\/p>\n<ul>\n<li>Manage the VP\u2019s calendar by scheduling external and internal meetings, conference calls, making travel arrangements, monitoring expenditures; identify ways to increase the Office\u2019s efficiency through planning and ensuring the VP is prepared for meetings, deliverables, etc.<\/li>\n<li>Coordinate, create, review and edit internal and external correspondence on behalf of the VP and take detailed notes and minutes of board, committee and staff meetings; ensure timely follow-up and reporting;<\/li>\n<li>Collaborate with the President\u2019s Office and EA\u2019s Executive Directors to build a strong office culture by supporting the team in staff events, effective communications;<\/li>\n<li>Coordinate and oversee special projects and meetings withthe President\u2019s Office, relevant officers, staff and Trustees;<\/li>\n<li>Conduct research to produce reports, inform and maximize systems\u2019 utilization by effectively using Raiser\u2019s Edge toenter data, research and information, produce reports;<\/li>\n<li>Assist in financial administration; expenditure monitoring and reporting in collaboration with the relevant units;<\/li>\n<li>Provide support to the Department\u2019s Executive Directors (3) and others as appropriate;<\/li>\n<li>Assist in stewardship, cultivation and special events, as required;<\/li>\n<li>Ensuring compliance and adherence to established policies and procedures;<\/li>\n<li>Other duties as assigned.<\/li>\n<\/ul>\n<p><strong>Requirements:<\/strong><\/p>\n<ul>\n<li>Bachelor\u2019s degree and 3-4 years of relevant administrative experience required;<\/li>\n<li>Excellent written and oral communications skills;<\/li>\n<li>Experience in working in a fast-paced and dynamic environment;<\/li>\n<li>Advanced Microsoft Office Suite knowledge; Prezi skills desired;<\/li>\n<li>Interest and ability to learn diverse software applications<\/li>\n<li>Database management experience preferred;<\/li>\n<li>Knowledge of and interest in Asia a plus.<\/li>\n<\/ul>\n<p><strong>Application:<\/strong><\/p>\n<p>For positions in New York, please email your cover letter and resume, indicating<br \/>\nposition reference code and salary requirements, to:<\/p>\n<p>externalaffairsjobs @ asiasociety.org<\/p>\n<p>Indicate job title and job code in the subject line.
