Conceptualize ideas and define themes,\u00a0\u00a0draft program descriptions and select speakers and panelists for all\u00a0Lecture programs. Maintain good contacts with past and prospective\u00a0\u00a0speakers and develop strong resource base.<\/li>\n<li>Act as the primary liaison with speakers regarding program content, structure, schedule,\u00a0equipment requirements. Send follow-up communications confirming program\u00a0\u00a0details.<\/li>\n<li>Make logistical arrangements for international and domestic transportation and hotel accommodation for\u00a0\u00a0speakers.<\/li>\n<li>Create program materials (brochures, handouts).<\/li>\n<li>Create and\u00a0\u00a0send e-blast messages for program promotion and outreach. Conduct\u00a0community outreach activities, including mailings of program announcements \u00a0\u00a0\u00a0\u00a0 and scheduling e-announcements.<\/li>\n<li>Prepare\u00a0\u00a0detailed expense reports for each program and compile bi-annual statistics\u00a0reports.<\/li>\n<li>Liaise with\u00a0Development and directors to secure sponsors and coordinate programs with\u00a0sponsoring institutions.<\/li>\n<li>Work with\u00a0Communications Department to publicize programs throughout the New York\u00a0community.<\/li>\n<li>Oversee\u00a0publication schedule and production with Publications Department. Work\u00a0with Editor and Designer in designing publications, and supervise\u00a0production of all the publicity materials, calendar announcements, ads,\u00a0brochures and other publications related to the programs. Request\u00a0photographers for selected events. Write\/translate\/edit the Japanese\u00a0section of Annual Report.<\/li>\n<li>Work with Box Office personnel and House Manager. Monitor ticket sales. Supervise and\u00a0troubleshoot before\/during the program.<\/li>\n<li>Coordinate program schedule with House Manager; reserve, confirm and release dates.\u00a0Submit and revise Function Forms. Manage technical arrangements of the\u00a0lecture programs and conferences. Ensure technical coordination with the speakers,\u00a0and supervise stage technicians.<\/li>\n<li>Assign staff and volunteers to specific positions, and create staff schedule for events. Responsible for closing procedures including letters to speakers, invoices and payments.<\/li>\n<\/ul>\n<p><strong>Qualifications:<\/strong><\/p>\n<ul>\n<li>Bachelor\u2019s degree and a minimum of three years related experience.<\/li>\n<li>Bilingual with strong writing and editing skills in Japanese.<\/li>\n<li>Excellent organizational and communication skills.<\/li>\n<li>Creative self-starter.<\/li>\n<li>Demonstrated ability to network and build external relationships.
