Job Title: Temporary Program Coordinator

The Temporary Program Coordinator provides administrative, program, and staffing support to the Director of Administration of Global Economy and Development program at Brookings.

  • Monitor and coordinate all open recruitments in the iCIMS applicant tracking system: review and organize incoming applications and vet for minimum qualifications, batch and send applications to hiring manager, schedule in-person and virtual interviews, coordinate assessments and tests; document all interview evaluations and reference checks.  
  • Coordinate all onboarding of new employees and interns: create orientation schedule, prepare workspaces, ensure all equipment is set up and ready for a new employee’s first day, With Director of Administration, track new employees’ first 90 days (introductory review), schedule “90-day” review meetings and coordinate follow-up
  • Be a point of contact and liaison to IT and HR departments as needed. 
  • Keep staff directory and Global Guide updated.
  • Schedule various program meetings, internal events and seminars, place orders for catering and set up room. 
  • Maintain shared Global Admin calendar in Outlook.
  • Support employee engagement initiatives, and annual performance review period. 
  • Support visiting researcher arrangements, draft and route letters and agreements through Sharepoint for various approvals.

Minimum two years of related work experience required. Bachelor’s degree required.  Administrative experience in a collaborative office setting required, including coordination of meetings and interviews via Outlook.  Prior experience with recruitments (phone screens, scheduling interviews) is preferred. 

Knowledge/Skills Requirements:  

High comfort level working in a culturally-diverse environment. Excellent communications skills; must present oneself in a professional and courteous manner in-person, via phone and email communications.  Must be knowledgable of standard, acceptable formats of cover letters.  Excellent interpersonal skills with a strong customer service orientation and a proactive work style. Ability to produce high quality work with careful attention to detail and accuracy, in a fast-paced department supporting over 60 employees.  Ability to manage multiple assignments, shifting priorities and meeting deadlines. Demonstrated understanding of various workflow software programs to efficiently accomplish work; experience with Sharepoint and iCIMS a plus.  Proficiency in all MS Office, with emphasis on Outlook, Word and Excel.

This position will be onsite here at Brookings in DC, is 20 hours per week (more if needed), and will likely be for at least 2 months.
