About CIEE Tokyo:

CIEE Tokyo offers a variety of study abroad and intercultural exchange programs. Our current program lineup includes college semester; college summer; faculty-led and custom programs for colleges / universities; high school semester; high school summer; gap year abroad; and internships.

Summary of Position:

This is a short-term, contract-based position for the summer of 2019. The Program Assistant (PA) is responsible for helping CIEE successfully implement our High School Summer Abroad programs (both sessions 1 and 2) in Tokyo. The HSSA program provides high school students from the US a unique opportunity to live and study Japanese language and culture in the heart of Tokyo. Students live and take language classes in the National Olympic Memorial Youth Center (NOYC), located in the heart of Tokyo near Yoyogi Park and Meiji Shrine. The PA will assist CIEE staff with program logistics and supporting students to ensure they have a safe, enjoyable, and meaningful study abroad experience.

Program dates:

  • Session 1: Mon June 10 students arrive; Sunday July 7 students depart Japan.
  • Session 2: Mon July 8 students arrive; Sunday Aug 4 students depart Japan

Primary Responsibilities:

  • Assist with pre-program preparations approximately one week in advance of students’ arrival (exact dates and times negotiable)
  • Assist with pickup at the airport
  • Assist with orientation implementation
  • Assist with taking attendance at the start of each class daily
  • Manage the logistics for room keys, room assignments, and room changes
  • Liaise with NOYC staff for matters including but not limited to: lost and found; luggage pickup
  • Manage the logistics for the collection, changing, distribution, and return of linens and futons
  • Support the preparation and implementation of activities
  • Assist with the distribution of student meal tickets and stipends
  • Assist with taking attendance at activities and during night-time student check-ins daily
  • Receive reports of student emergencies and report to the CIEE Program Coordinator immediately. Respond to student emergencies appropriately and in collaboration with CIEE staff and Program Leaders.
  • Provide CIEE with constructive, written feedback after the end of each Session
  • Live in NOYC housing along with CIEE Program Leaders and Students.
  • Accompany the group on activities, overnight excursions and other program related events. Assist with logistics and the overall smooth implementation of excursions. Support students in their daily lives as needed, fulfilling tasks including but not limited to accompanying to a clinic, ATM, post office, etc.
  • Other duties as required and assigned by CIEE Staff and the CIEE Senior Program Leader

Knowledge and Requirements:

  • Bachelor’s degree, preferably in a subject relevant to the program (examples: education, international education, Japanese language and culture, Asian Studies, International Relations, etc.)
  • Prior work experience, preferably in an education setting
  • International work / travel experience preferred. Experience in Japan and the US a plus.
  • High English language ability: able to communicate verbally and in writing with non-Japanese speaking CIEE staff.
  • High Japanese language ability: able to communicate verbally and in writing with non-English speaking partners. Able to communicate in Japanese over the phone.
  • Excellent communication skills, especially in an intercultural work environment
  • Detail-oriented

  • Passionate about education and intercultural exchange

Work Environment:

  • Lifting: 0-25 pounds (0 – 11.3 kg)
  • Able to stand / walk / climb stairs while guiding students for extended periods of time.
  • Able to work at a desk for extended periods of time.
  • Able to communicate face-to-face and on a telephone / cell phone; type and view a computer screen; answer emails; file paperwork; organize and keep track of room keys and room linens; operate office equipment such as a printer and copier as needed.

Compensation:

  • Compensation dependent on qualifications, skills, and experience.
  • Housing provided: dates and locations are pre-determined.
  • Meal support provided on pre-determined dates and times.
