Job Descriptions
- Administrative Assistant will be in charge of supporting and engaging in duties pertaining to the Social Section. (Please see below for detailed descriptions of expected job responsibilities.)
- Full-time local staff. Monday through Friday.8 hrs 45min./day(including a break of one hour)
- 3 months probation period required. 2 years (including probation period) with possible extension.
- Excellent writing, verbal communication and touch typing skills in English required.

Requirements
- Candidates must be a US citizen or non-US citizen currently with a legal status that allows him/her to stay for an extended period, preferably on permanent basis, and legally work in the US.
- Bachelor’s degree, preferably in International Relations, Political Science, Human Rights, Humanitarian Affairs, or related discipline.
Salary
Commensurate with each applicant’s work experience.

Detailed descriptions of expected job responsibilities
- Responsibilities include, but are not limited to:
- Coordinate in the Mission as well as with the UN for logistics/protocol for conferences, meetings, briefings, events, and other official functions
- Draft and edit letters, diplomatic correspondence and speeches, support diplomats, as necessary, in translating or editing documents from Japanese into English
- Arrange appointments for the Mission officers with other diplomatic missions, UN organizations, etc.
- Research topics related to the United Nations as required by the Mission officers upon request for information from the Mission officers
- Attend relevant meetings with diplomats, and take accurate and quick notes, keep records and write up summaries as required
- Keep up-to-date with meeting schedules and other UN related event.
- Provide support and inputs to staff/officers in the Mission in charge of public affairs for outreach as well as website and social networking updates
- Respond to telephone calls, both incoming and outgoing, with efficiency and professional etiquette
- Update and develop contact information databases
- Manage the official email account and respond to inquiries in an appropriate and timely manner
- Work as a receptionist, as required, at the entrance of the Mission
- Assist and engage in any other duties assigned by supervisor

Requirements/Preferences:
- U.S. citizenship or green card – required
- Excellent English writing and verbal communication skills, computer skills, touch typing skills – required
- College degree – required
- Japanese language skills and cultural familiarity – preferred
- Basic Knowledge of the United Nations and diplomacy – preferred
- Prior experience in the JET Programme – preferred
