Job Description for Import Coordinator

1. General Position Summary:
General Summary
1) This position is responsible for handling all aspects of import customers’ account management, including: booking shipments, arranging transportation details, dealing with customs clearances, handling claims, issuing invoices, and ensuring collections.

 
2. Essential Job Functions:
Primary Job Functions Weight: 70%
1) Handles Import Accounts
by negotiating booking rates (if applicable); by inputting data into computer system regarding shipments; by distributing information to brokers; by handling Customs paperwork; by receiving and distributing collect charge and ocean B/L’s due on each shipment; by calling airlines, steamship lines, forwarders, etc, regarding pick-up numbers; by generating delivery orders and distributing to trucking companies, airlines or steamship lines; and by initiating billing procedures on each file.
2) Delivers Client Satisfaction
by performing traces; by contacting consignees on the phone; by filling out documents correctly; and by undertaking other various functions to assure on-time delivery of freight to all customers.
3) Serves Customers
by answering the telephone quickly; by handling inquiries and expediting orders from internal and external customers in a prompt and professional manner; by greeting external customers when necessary; and by otherwise communicating with external customers in a professional manner which solidifies the business relationship.
Secondary Job Functions Weight: 20%
1) Performs General Administrative Tasks
by assisting with accounting for the branch; by writing reports; by entering data; by distributing mail and faxes when necessary; by filing documents correctly; and by undertaking other duties as needed.
2) Keeps Management Informed
by reporting on all customer incidents quickly to eliminate problems; by communicating with Supervisor regularly regarding needs of the department; and by maintaining documentation of customer interaction.
3) Manages Time and Resources
by managing time, support Staff, and other Company-provided resources (phone, fax, email) in order to maximize self-potential and business profit.
4) Ensures Smooth Operation
by making sure that import operations function smoothly; by providing the Company with accurate reports; by following guidelines set by the Company; and by performing assigned tasks accurately, allowing the Company to maximize financial performance and limit risk.

3. Essential Job Requirements:
Physical Requirements & Working Environment
1) Physical Requirements
While performing the duties of this job, the Staff Member is regularly required to sit and talk or listen.
2) Physical Requirements
The Staff Member is further required to stand, walk, use hands to pick up, handle or feel and reach with arms. Occasionally, the Staff Member will need to kneel or crouch.
3) Physical Requirements
The Staff Member must be able to read and analyze written information on a computer terminal. Close vision and the ability to adjust focus are necessary for this job.
4) Physical Requirements
The Staff Member may regularly lift, carry, push, pull or move objects of at least 15 pounds.
5) Working Conditions
The noise level in the work environment is usually moderate (i.e. working in a office).
6) Working Conditions
The Staff Member must be able to travel on business or work beyond normal work hours as necessary.
Experience/Minimum Qualifications Needed
1) Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, and/or government regulations in English.

Ability to effectively present information and respond to questions from groups of Managers, Staff, clients, customers, and the general public in English.

Education
1) B.A./B.S. in related field or equivalent experience.
