The UC Berkeley Center for Executive Education (CEE) is a California nonprofit public benefit corporation formed for the purpose of operating executive education programs previously operated by the UC Berkeley Haas School of Business. Overview: The Program Manager is primarily responsible for program execution and customer service and heavily contributes to stakeholder management and the overall educational experience. This includes managing logistics such as venue selection, class material collection and distribution, registration, onsite management, AV support, catering, transportation, and faculty & vendor contracts. The Program Manager facilitates communication between all stakeholders including faculty, clients, participants, and other CEE team members. This is a full-time, exempt position located in Berkeley, CA.

Key Responsibilities:

  • Plans, manages and executes all logistical elements of approximately 15 executive education programs per year, typically lasting between one and two weeks. For each assigned program, consults with clients, faculty and other CEE stakeholders on all details regarding program events and event planning.
  • Identifies and contracts event locations and vendors, including transportation, catering and hotels.
  • Provides high-touch, hands-on support during programs to clients, participants and faculty. Is present at all sessions, events and activities, providing the highest level of customer service.
  • Manages participant enrollment (using Salesforce) and communication, including logistics, pre-readings and program schedules. Handles all program communications, material distribution and other activities to prepare participants for executive education programs.
  • Partners with faculty and sales team around design of program schedules, logistics and activities (e.g. corporate site visits, receptions, special dinners).
  • Develops and manages program budgets in partnership with sales team and Faculty Directors. Generates and manages contracts for faculty and vendors.
  • Works collaboratively with a team of Program Managers and assumes other team-wide responsibilities.

Qualifications:

  • The ideal Program Manager candidate must possess outstanding event/meeting planning, project management and communications skills, and be a strong collaborative team-player.

  • Bachelor’s Degree in a related area and/or equivalent experience and training.
  • 5+ years of relevant work experience.
  • Familiarity with executive education programs and trends highly desirable.
  • Certified Meeting Professional (CMP) certification a plus.
  • Extremely strong project management and organizational skills, with the highest level of attention to detail and deadlines.
  • Proven ability to work successfully with others to produce high quality events that meet client needs, and appropriately represent UC Berkeley, the Haas School of Business and the UC Berkeley Center for Executive Education.
  • Must be able to work early mornings, evenings and occasional weekends during program events.
  • Exceptional interpersonal skills, including political acumen. Able to quickly and easily build strong relationships with diverse audiences, and work as a team-player who is motivated by working in a collaborative environment. Comfortable working with a broad range of stakeholders, including international participants and university faculty members. Able to skillfully manage others to meet deadlines.
  • Highly developed judgment, decision-making, and problem recognition/resolution skills.
  • Proven ability to develop creative solutions based on client’s needs.
  • Ability to think and act strategically about choices and decisions to ensure that program participants and faculty receive the best experience, while maintaining fiscal diligence.

Position: Associate Program Manager

Overview: The Associate Program Manager is responsible for providing substantially important administrative and tactical business operations support to a team of Program Managers responsible for the planning and execution of CEE’s executive education programs. The Associate Program Manager supports various elements of program planning and delivery, including facilities arrangements, production of participant materials, A/V support, special events, and work with vendors. This role also includes assisting with customer-facing responsibilities, providing high-touch, hands-on customer service. The Associate Program Manager also supports budget and invoice tracking, and various team-wide administrative and special projects. This is a full-time, exempt position located in Berkeley, CA.

Detailed Key Responsibilities:

  • Regularly provides on-site support at programs, which may include being present at all program sessions or providing support on early morning registration, evening/weekend special events, and assisting Faculty in delivery of program exercises. Interacts directly with clients and program participants, professionally representing CEE to key stakeholders, and providing the highest quality of customer service.
  • Helps support a team of undergraduate student employees, including playing a role in hiring, training, scheduling and ongoing management to ensure successful execution of their duties.
  • Manages important elements of program logistics, including but not limited to parking, room reservations (on and off campus), and media/audiovisual services. Supports Program Managers in planning catering and transportation, as well as other key elements of program event planning and execution.
  • Assists in preparation of pre-program deliverables and materials including setting up participant communications, creating program materials (e.g. binders and handouts) and pre-program communication with participants. Manages ordering of supplies for programs, ensuring Program Managers have the materials they need for successful program execution.
  • In collaboration with peers, manages inventory of materials at Haas and CEE facilities. Places orders, manages inventory system, and responds to special requests as needed. Builds and maintains relationships with vendors, including negotiating prices and services.
  • Plays a key role in CEE’s budget management by managing program-related invoices and expenses. Works with peers in managing a significantly sized budget for parking permits, gifts and supplies (totaling hundreds of thousands of dollars annually).
  • Provides support to the Chief Operating Officer on a variety of special projects. Shows a high level of judgment, independence and political acumen at all times in this work.

Qualifications:

  • Bachelor’s Degree in a related area and/or equivalent experience and training. At least 2 years of experience in a service organization. CMP certification a plus.
  • Extremely strong project management and organizational skills, with the highest level of attention to detail and deadlines. Excellent time management skills.
  • Ability and desire to contribute to ongoing operations and process improvement efforts across all of CEE, contributing ideas on a perpetual basis to key operational workstreams.
  • Expected to regularly identify ways to improve business and program operations and finances.
  • Thorough knowledge of administrative procedures and processes, including word processing, spreadsheet and database applications. Experience with Salesforce a plus.
  • Desire to be part of a highly collaborative team. Ability to balance ever-changing special projects with ongoing job responsibilities. Must be able to work independently and with minimal
  • direction, exercising own discretion in managing crucial elements of CEE’s program team operations.
  • A strong customer service mindset. An efficient problem-solver with excellent judgment and decision-making skills.
