The Office of International Students and Scholars (OISS) serves as a primary campus resource for international students, scholars, and their families, fostering a sense of community by offering orientation for new arrivals and hosting programs and activities throughout the year. Reporting to the Associate Director of the Office of International Students & Scholars, the Senior Adviser works as a member of the team that advises the international community on immigration regulations and other related matters important to a student’s or scholar’s visa and/or immigration status. This is not an international students and scholars position, but rather the development of “Study Abroad in Reverse.”

As Program Coordinator for Cornell Abroad, coordinate all activities of the centrally managed inbound study abroad programs for non-degree, fee-paying or exchange students. Work with partner institutions/organizations, as well as Cornell academic and administrative units to deliver successful inbound academic year, semester, and shorter term study abroad programs for individual students and cohorts. Duties include student advising, student support, liaison to admissions, faculty and academic advisors, and all associated administrative duties. Additional duties include program promotion and student recruitment, interface with students’ home institutions and sponsoring organizations, program promotion, and student recruitment.
Respond to prospective student inquiries and provide application support. Work closely with the university and college admissions offices on application review and student placements.  Liaise with faculty and relevant, established college structures on academic matters including student advising, to ensure that students choose a well-rounded, appropriate course load that fulfils requirements of their home university/sponsoring organization and complies with Cornell’s academic regulations. Organize housing, meal plans, and student health insurance coverage for the incoming students. Assist with students’ arrival, conduct orientation and ongoing support; coordinate with ISSO, as needed. Guide students through the process of securing summer internships and research positions; coordinate with university and college career services, Office of Undergraduate Research, as well as internship provider organizations. Assist with design and deliver social and cultural activities for the visiting international students. Work with residence life and student affairs on integration of students into Cornell student community. Assist director with program evaluation and assessing the program’s impact on students’ cross-cultural learning outcomes.
Assist Director in working with strategic partners and scholarship agencies, scanning the external environment for market opportunities. Assist Director in cultivating relationships with Cornell admissions, colleges, faculty and academic advisors to assess enrollment capacity in different curricular areas.  Assist with the development of the program brand, including communications materials, brochures, and web site. Support promotional activities, including conference exhibitions, study abroad fairs, and campus visits. Develop and maintain an alumni group for the program.
This is a full time, three year term position.
Qualifications

 

Bachelor’s degree with at least 2 – 3 year previous relevant experience in higher education or a similar organizational setting focusing on international education, student programming and/or advising or equivalent combination of education and experience.
  • Ability to distill and convey information effectively to multiple audiences (including students, parents, faculty, staff) in an effective manner.
  • Knowledge of principles and issues of study abroad advising, intercultural competency, and engaged learning.  Demonstrated familiarity with international higher education systems and different program models for study abroad.
  • Excellent communication skills, both oral and written.  Effective communicator in a variety of situations, including both interpersonal and formal large-group settings.
  • Experience mentoring or advising college students.  Ability to interact with international administrators and foreign government (sponsoring) agencies.
  • Competence using MS Office Suite. Basic familiarity with college admissions processes and immigration regulations for international students. Basic familiarity with social media tools.

Preferred:

  • MA in a related field.
  • Experience living, working or studying abroad.
  • Competency in a foreign language highly preferred, ideally Portuguese/Spanish, Chinese, or Korean.
  • Experience with short-term faculty-led programming or international internships desired.  Familiarity with program models that enhance intercultural competency and engaged learning.  Familiarity with the major professional organizations in the field of International Education and Education Abroad. Basic understanding of the Code of Ethics and Principles of Good Practice.
  • Understanding of student development, outcomes assessment, and/or backwards program design a plus.  Ability to work under very general supervision.  Demonstrated leadership experience.
  • Previous experience with PeopleSoft, StudioAbroad software, and/or web-based data-management tools.  Basic understanding of web design and/or video a plus. Familiarity with Cornell policies, admissions, and academic programs helpful, but not required.

POSITION DESCRIPTIONThe Passenger Services Coordinator performs a wide variety of administrative, customer service, and other professional travel functions.

The diverse responsibilities and functions of the position require the capacity to abstract, conceptualize, organize, and integrate different sources of information into a coherent and practical frame of reference. The geographic expanse of assigned regions and the diverse range of programmatic services provided contribute to an operational complexity that requires a high level of ability and skills. Independent judgment is required in dealing with day-to-day problems and establishing priorities.

Duties and responsibilities include, but are not limited to, the following:

•       Works with operations managers and client organizations to deliver pre- and post-departure services for group sizes ranging up to 100 participants.

•       Maintains and updates ViaTour records with passenger information (ViaTour is Criterion’s Microsoft Access-based passenger database).

•       Assists with preparation of pre-departure passenger materials, including confirmations, insurance, pre-departure information mailings, visa information, invoices, and tour staff briefing materials.

•       Prepares and reviews all outgoing documents/correspondence to insure accuracy, clarity, proper format, completeness, and conformance with company and client instructions. Keeps a record of incoming and outgoing passenger correspondence within ViaTour.

•       Answers questions and corresponds with existing passengers and client organizations regarding trips.  This may include giving information on suggested travel dates and routes, program availability, extensions, accommodations (including ships and trains), specific tour excursions, and transportation. This may also include giving advice and assurances regarding health concerns, emergency/safety resources, and US State Department travel warnings.

•       Handles all follow-up on passenger forms and information, and ensures payments and forms are received in a timely manner.

•       Checks and verifies air and land arrangements to insure continuity with group travel dates, and notifies the appropriate operations manager or ground operator if passengers need extra services.

•       Organizes and maintains passenger files. This includes updating and auditing rooming lists, berthing charts, passport manifests, arrival and departure reports, and the passenger record database.

•       Prepares trip manifests and other reports to be sent to client organizations, ground operators, and tour staff.

•       Shares responsibility for answering phones with other Passenger Services staff.

•       Serves as back-up for tours and other tasks handled by other passenger services team members.  This requires basic familiarization with company trip portfolio and ability to answer passenger and client inquiries and requests.

•       Reports to Passenger Services Manager. Supports President as needed.

Knowledge and Skills

•       General knowledge of the travel industry and assigned destinations

•       Ability to use online resources for visa requirements, destination information, flight and rail options, health/immunization requirements, and cultural practices

•       Excellent written and oral communication skills

•       Proficiency in MS Word, including advanced formatting and editing features, and in MS Excel, including simple formulas and data sorting. Proficiency in Adobe Acrobat is a plus. Ability to learn new programs quickly.
