These programs include the Trinity College Rome Campus, Trinity in Paris, Trinity / La MaMa (New York City), Trinity in Barcelona, Trinity in Trinidad, Trinity in Vienna, Trinity in Buenos Aires, Trinity in Shanghai, and Trinity in Cape Town, as well as up to 12 Trinity summer programs offered each year.

The Outreach Coordinator has primary responsibility for maintaining and facilitating the update of all marketing/outreach materials produced by the OSA, including program brochures, the office web site, Bantams Away (Trinity’s official study away blog), and other promotional materials as needed. In addition, the Coordinator will develop, in collaboration with the rest of the OSA staff, a social media strategy to maintain a presence on social media outlets and will carry out and maintain that strategy with the assistance of student peer advisors.

The Outreach Coordinator will oversee Trinity’s peer advisor program and be responsible for coordination of major promotional events each semester. The Outreach Coordinator will also represent Trinity College at study away fairs each fall to promote the Trinity College Rome Campus and other Trinity Study Away Programs and will be the primary OSA contact for study away advisors at sending institutions and students with initial inquiries or basic logistical questions about the application process. Some evening/weekend work and regular travel to other campuses and conferences are required. In addition, the Coordinator manages and oversees the administrative processes and procedures for all Trinity College Faculty Led Summer Programs. These responsibilities include working with faculty/staff program directors on billing, application procedures, marketing plans, travel arrangements, safety and security procedures, expense reporting, visas, program assessment, etc. This position conducts training on safety and security and expense reporting, and shares on-call emergency response duties (backed up by the Director ofOSA). The Coordinator advises all students who study away in the summer period from Trinity College either on Trinity College Programs or non-Trinity Summer Programs. S/he also advises visiting students studying on Trinity College Summer Programs. The Outreach Coordinator is responsible for promoting summer faculty lead program opportunities to Trinity faculty, developing program materials, and reviewing web content for accuracy. The Coordinator conducts pre-departure orientation sessions with appropriate faculty for each of the summer programs. The Outreach Coordinator together with the Director of OSA assists with new program and budget development.

Outreach Coordinator Duties:
• Develops and maintains relationships with other study abroad offices, faculty and staff;
• Recruits non-Trinity and Trinity students to study on Trinity programs via e-mail, phone, web, and marketing events;
• Conducts in-person visits to other study abroad offices and attends study away fairs;
• Updates the OSA website, brochures, and all other publications; serves as primary manager/editor of student study away blog (Bantam’s Away), including working with student peer advisors to develop and publish content.
• Develops and maintains a strong presence for Trinity study away programs on social media and study abroad websites.
• Manages the Global Ambassador Program (returned student peer advisors and on-site student advisors)
• Plans recruitment events, including the study away fair, open houses, speakers, and cultural events on campus.
• Oversees OSA’s e-mail account, responding to all inquiries within 24 hours, (M-F).
• Liaises with athletics, fraternities and sororities, clubs, international students, residence halls, and appropriate on-campus offices on targeted programming activities.
• Serves as OSA point person for course visits, campus events that the OSA needs to have a presence at; attends as the OSA’s representative as needed and coordinates with Global Ambassadors to have returned study away students in attendance when appropriate.
• Serves as primary point of contact for non-Trinity students and study abroad offices prior to submission of applications for all Trinity programs.

Short Term Program Coordinator Duties:
• Maintains summer program applications, handbooks and other necessary program materials.
• Advises students and parents on all aspects of short term study away programs.
• Manages the admissions process for Trinity programs managed, including all communication with students before, during, and after the application process.
• Prepares students admitted to short term programs for their time away and communicates with them as needed throughout the process and program.
• Arranges and conducts pre-departure meetings with students for short term programs.
• Communicates regularly with the Director of OSA, faculty, on-site staff, and program partners regarding student concerns, issues and emergencies, course offerings.
• Recruits and prepares faculty to lead short term programs abroad.
• Works closely with Trinity faculty on short term program logistics and travel and visa arrangements.
• Serves as back-up emergency contact for parents, students and on-site staff for Trinity programs managed.
• Liaises with the Director of the OSA, and the program faculty committees on academic aspects of Trinity programs managed.
• Works with the Registrar to ensure that the term course offerings are accurate in the online registration system and that non-Trinity students are enrolled and registered.
• Enrolls students in Trinity courses taken abroad and in HTH insurance.
• Facilitates faculty committee meetings for programs each semester as needed.
• Enters Trinity grades into online grading system on behalf of the on-site faculty at end of short term programs when needed.
• Reviews content for the Trinity program webpages for the programs managed.
• Visits Trinity programs managed (and non-Trinity approved programs, as is feasible) to improve advising, assess quality, and maintain strong relations with the on-site staff team.
• Provides post program follow up and support.

Qualifications:

Bachelor’s Degree, two years of professional experience in the field of education abroad and experience living, working, or studying abroad required; Master’s Degree strongly preferred. Other necessary qualifications include excellent oral and written communication skills, strong organizational skills, the ability to multitask, and a high level of flexibility. Strong candidates will also marketing skills (preferably formal education/training and/or experience), including the ability to leverage in-person communication, print media, and social media (specifically Facebook, Twitter, WordPress) to convey the value of Trinity’s programs. A high level of creativity is required. Must also be able to work independently for a busy and service-oriented office while maintaining a high level of accuracy, with attention to detail. Strong computer skills are necessary, including programs and web services mentioned above and proficiency in the Microsoft suite. An understanding of the Adobe design suite (Illustrator, Photoshop, InDesign) is preferred; willingness and ability to become proficient is required. Must have valid driver’s license and have the ability to travel, including evenings, overnight, and occasionally on weekends.
